Description

I. Scope: 

This position provides general day-to-day administrative support in Human Resources. Provides support with onboarding and acclimating new employees. Assists in developing and facilitating employee engagement processes and retention initiatives at all business locations. Assists with the coordination of the Company’s communication efforts externally and internally. This position assists the department in making efforts to brand, promote, and maintain the organization’s reputation with its employees and the public. 


II. Principal Duties:


A. Recruitment and Vendor Relations

  • Together with Corporate HR and recruitment vendors, owns the recruitment process including the four steps: sourcing, screening and selection, and onboarding. 
  • Ensures the recruitment-Onward HR database is complete and applicant trackers are accurate and updated. 
  • Assist and help the HR Supervisor identify sound and strategic recruitment approaches. Approaches, in this context, refer to strategies or methods of executing the recruitment process and selection, including effective utilization of recruitment vendors and recruiters. 
  • Work with Onward recruitment and vendors on recruitment strategies to ensure that manpower request(s) are filled with rightful candidates on time.


B. Onboarding 

  • Owns each of these phases by ensuring HR staff assigned is closely monitored Pre-on-boarding– this starts once the new employee signs their offer letter and ends on their start day. Orientation– the structured phase of onboarding that gets new employees through all the required material. First assignments– the first few projects that help ramp employees up. Ongoing support– support system to help ensure the employee gets fully integrated into the team until confirmation of regular employment. 
  • Work closely with the hiring department manager to help resolve issues as needed and align differing views to a single goal to meet demands of the company goals -place the most qualified and/or best-fit employee on board. 
  • Helps to double-check to make sure new employees have signed all their paperwork including needful employment contracts (Probationary Contract, etc.), including the creation and issuance of Company ID, Building RFID, and work tools. 
  • Ensuring that onboarding and placement are monitored, and issues of the new employee are addressed, communicated, and coordinated to the concerned to ensure the same is resolved. 
  • Ensuring that the new employee integration is assisted, monitored and needed feedback support system and timely resolution of issues are achieved. 
  • On-boarded employee replacement is prepared at any time should the incumbent seemingly not fit during the 3-month to 6-month probationary period to ensure no gaps in headcount during the transition period. 


C. Records Administration 

  • Ensure that all HR-related documents and reports are safely kept, monitored, and archived.
  • Ensure that all work tools issuance, problems, and issues are documented and safely kept.
  • Works with Document Control Specialist to ensure employee records are accurate and updated.


D. Employee Engagement and Communications

  • Identifying concerns and serving as the first point of contact between employees and corporate teams regarding Company initiatives, policies, and procedures and escalating issues to relative departments or leadership as required.
  • Propose activity ideas to support the existing retention strategies implemented in the engagement programs.
  • Assist with the development and implementation of the annual HR calendar, and public relations plans in consultation with the HR Supervisor.
  • Assist with coordination and editing for marketing and communication avenues both on and offline, including but not limited to collaterals.
  • Assist with the coordination of updates and improvements on the employee portal, website, and social media accounts.
  • Keep the Company’s bulletin boards updated.

Requirements

  • Educational Qualifications: Minimum of a Bachelor's degree in Human Resources, Business Administration, or related field.
  • Experience Level: Candidates should have 1 - 3 years of experience in an HR role.
  • Skills and Competencies: Must be computer literate, possess strong written and verbal communication skills, interpersonal skills, and attention to detail.
  • Responsibilities and Duties: Assist with recruitment, onboarding, employee relations, performance management, policy implementation, and compliance with HR regulations.
  • Working Conditions: Typical office environment, with the occasional need to attend after-hours meetings or handle employee issues.
  • Qualities and Traits: Looking for a proactive, organized individual with excellent problem-solving abilities and a discrete approach to confidential matters.
