Description

  • Calendar Management, including the coordination of conference calls across multiple timezones.
  • Document Preparation and Management, including proof-reading, PowerPoint presentations and Excel spreadsheets and filing.
  • Communication Management, including email management and responses on behalf of executives and liaising between numerous parties.
  • Meeting coordination and preparation including preparing agendas and collating documents/meeting packs ahead of the meeting.
  • Financial Administration including basic bookkeeping tasks such as credit card reconciliation and budget tracking.
  • Research and Information Management, including conducting research activities and collating findings for the executives and identifying trends.
  • AI and Technology Integration, including utilising AI tools to enhance and streamline productivity.
  • Project Management Support including tracking project progression through project management tools and coordinating with stakeholders to ensure delivery by deadlines.

Requirements

 Exceptional organizational and time management skills

 Intermediate to Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

 Proficiency in Atlassian suite (Jira, Confluence, Trello)

 Experience with AI-powered productivity tools and willingness to learn new technologies

 Strong research skills and ability to synthesize information from various sources

 Basic understanding of bookkeeping and accounting skills

 Excellent typing speed and accuracy

 Strong attention to detail and ability to maintain high accuracy in all tasks

 Proficiency in digital file management and cloud-based storage systems

 Experience with scheduling software and video conferencing platforms

 Ability to prioritize tasks and manage multiple deadlines simultaneously

 Excellent written and verbal communication skills

 Proficiency in minute-taking and transcription

 Knowledge of business correspondence formats and professional email etiquette

 Ability to maintain confidentiality and handle sensitive information discreetly

 Proficiency in data entry and database management

 Understanding of basic financial principles and reporting
