Job Title: VIRTUAL ASSISTANT

(Admissions/Finance Department)


The Virtual Assistant (Admissions/Finance Floater VA) plays a key role in connecting patients with healthcare administration in a remote environment. This permanent position requires a caring approach to patient interactions while managing admissions and financial operations efficiently. The ideal candidate will be a licensed nurse who combines clinical knowledge with strong administrative and financial abilities. Candidates must be available to work in the Pacific Standard Time (PST) zone.



Patient Intake and Information Gathering:

  • Professionally welcome patients and their families through virtual communication platforms.
  • Conduct in-depth interviews to gather essential demographic and medical information.
  • Ensure accurate entry and verification of patient data in the electronic health record (EHR) system.

Insurance Verification and Financial Counseling:

  • Confirm insurance coverage and benefits for patients being admitted.
  • Obtain required pre-authorizations and referrals.
  • Clearly explain financial policies and assist patients in understanding their responsibilities.

Financial Planning and Analysis:

  • Support the creation and maintenance of departmental budgets on an annual basis.
  • Carry out financial forecasting and variance analyses.
  • Analyze patient care costs and suggest strategies for cost efficiency.

Revenue Cycle Management:

  • Manage the revenue cycle from patient registration to final payment collection.
  • Track key performance indicators (KPIs) and collaborate with clinical departments to ensure accurate billing.

Administrative Duties:

  • Prepare and organize admission packets containing relevant hospital information.
  • Maintain compliance with hospital policies, especially concerning patient privacy (HIPAA).
  • Engage in ongoing training and development to enhance professional skills and knowledge.

Customer Service and Communication:

  • Act as an intermediary between patients, families, and clinical staff through virtual channels.
  • Address patient inquiries and concerns in a timely and professional manner.

Work Environment:

  • Remote setting with flexibility for independent task management.
  • Availability for evenings, weekends, and holidays may be necessary.

Reporting Structure:

  • Reports directly to the Admissions Manager or Finance Director.

Performance Metrics:

  • Patient satisfaction levels, accuracy of patient information, and successful insurance verifications.

Requirements

  • Licensed nurse (RN or LPN) with at least 2 years of experience in healthcare administration or customer service.
  • 2-3 years of pertinent experience in finance or administrative support.
  • Solid understanding of medical terminology and healthcare financial processes.
  • Advanced proficiency in Excel (e.g., Pivot Tables, VLOOKUP, INDEX MATCH, Conditional Formatting).
  • Familiarity with EHR systems (e.g., Epic, Cerner) and Microsoft Excel.
  • Excellent verbal and written communication skills.
  • Detail-oriented with a strong emphasis on accuracy.
  • Capable of working independently and effectively managing time in a remote environment.
  • Must have a backup power source (e.g., generator or battery pack) and a backup internet connection (e.g., pocket WiFi).
  • Internet Speed: Minimum 25 Mbps download and 5 Mbps upload; 50 Mbps recommended.
  • Device Specifications: Minimum Intel Core i3 processor, 8 GB RAM, 256 GB SSD.
