Description
Ensure you and workers you are involved with, both directly and indirectly within your scope of work, operate in a safe manner and comply with the applicable office, site and statutory safety regulations.
Respond to and report all incidents in accordance with ECG and site specific OHS requirements.
Implement, update and review project activities to ensure adherence to company quality processes and standards.
Non-conformances are to be reported in accordance with ECG company policies and procedures
The Project Administrator is responsible for assisting the project manager and project team with planning and coordinating all aspects of the project, including establishing project objectives, timelines, and budgets.
They work with cross-functional teams to develop and maintain project plans, schedules, and progress reports.
They must liaise with clients on projects and apply strategies and standards to ensure project costs are contained, design parameters are met, and resources are allocated effectively.
Ensure all project reporting required is actioned as per the specific project deadlines. Prepare and present reports to clients and others as required by the project scope.
Coordinate project meetings, regularly liaise with clients, and ensure general communication on projects is of a high standard.
Develop cost reports and monitor closely the project budget and take responsibility for initiating corrective actions as required.
Compiling and entering project-related data into relevant systems, generating reports, and preparing meeting minutes or reports for project stakeholders.
Assisting with the allocation of resources, and personnel, to ensure the project runs smoothly.
The Project Administrator is responsible for communicating with clients, stakeholders, and other project team members to ensure that project goals are met and to resolve any issues that may arise. Strong communication and interpersonal skills are essential for this role.
The Project Administrator must ensure engineering change requests and technical queries raised by others are formalised and addressed with the project and to implement any changes identified as per ECG’s change management procedures.
Document and report cost and schedule related changes in accordance with the ECG company policies and procedures.
Helping to identify, document, and monitor project risks, variations, and issues, escalating them to the project manager when necessary.
Manage the review process for engineering deliverables ensuring checks and approvals are carried out as per ECG’s engineering and quality procedures.
Co-ordinate resources to ensure full records are maintained in accordance with project requirements.
Provide reports as required by the project scope and as otherwise requested by the client.
Ensure all project documents are managed in accordance with project requirements and company procedures.
Requirement
Project Management experience
Experience in project controls and cost controls.
Experience with document control procedures and
Excellent computer skills – MS Project, Word, Excel, QDMS (or similar)
Ability to quickly pick up new software operating skills
Strong organisational skills
Proven ability to align with client and contractor relationships.
Well-developed written and verbal communication skills.
Well-developed people skills.
High level of attention to detail.
Ability to independently review and interpret project reports to assistance to project team.
