Description

A Sales Coordinator is responsible for efficiently managing the sales order process, coordinating with customers, and addressing inquiries and concerns. This role involves organizing purchase orders, ensuring stock availability, confirming delivery schedules, and maintaining clear communication with both customers and internal teams


Duties and Responsibilities:

  • Collects all purchase orders via various channels (email, Viber, SMS, calls, fax) from customers.
  • Organizes and files purchase orders systematically by creating folders for each customer.
  • Checks the system for stock availability to ensure that confirmed purchase orders have proper allocation.
  • Coordinates delivery schedules for all purchase orders and confirms details with customers.
  • Works closely with the logistics team to arrange and confirm delivery locations.
  • Inputs purchase order details into the Order Sheet using Google Sheets or a similar platform.
  • Conducts follow-up calls with both new and existing customers for order confirmations and updates.
  • Addresses customer inquiries promptly and professionally.
  • Engages in telemarketing activities, promoting products or services to potential and existing customers.
  • Addresses customer concerns and complaints promptly, ensuring a target feedback time of 15 minutes maximum from the inquiry.
  • Collaborates with the logistics team to resolve issues related to delivery locations.

Requirement

  • Bachelor's degree in Business or related field
  • With or without experience in sales documentation or a similar role.
  • Proficiency in data entry and data management.
  • Strong attention to detail and the ability to spot errors and inconsistencies.
  • Excellent organizational skills with the ability to handle and maintain large volumes of documentation.
  • Familiarity with relevant software and tools for data entry and document management.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Problem-solving skills and the ability to handle discrepancies and variations in sales documentation.
  • Knowledge of relevant regulations and compliance standards related to sales documentation
