Description

We seek a skilled and motivated individual to join our team as a Sales Admin Assistant.


The Sales Admin is responsible for supporting the Sales Manager (SM) in the management and operations of the stores (Brick & Mortar and E-commerce). General tasks include procurement, encoding & labeling of products, inventory management, marketing & promotion, and carrying out other directives given by the SM.


Duties and Responsibilities


  1. Together with the Retail Manager, initial responsibility includes setting up the stores (brick & mortar and e-commerce).
  2. Make a database of products per Department per Category in Excel; encode the same in the E-commerce system.
  3. Prepare Purchase Order, Delivery Receipt, Receiving Report and Quotation.
  4. Arrange delivery of products and make sure that arrival is as per schedule.
  5. Set up product displays and arrange merchandise on the counter or tables as directed by the SM.
  6. In-depth knowledge of the store's products and ensure that all staff are properly trained as well prior to store opening.
  7. Launch the stores as per the timetable.
  8. Manage inventory of all products; maintain and update the master list of products to monitor stock level to reach sell-through ratio.
  9. Manage staff schedules and daily operations of the stores.
  10. Responsible for preparing the daily store opening and making sure all closing tasks are done before the end of the day.
  11. Carry out the marketing and promotion of the stores.
  12. Develop good relationships with customers and suppliers.
  13. Prepare various reports for the SM on a weekly, monthly, semi-annually, and annually.
  14. Lead the store staff and store operations in the absence of the SM.
  15. Perform other duties as may be assigned by the SM.



Requirements

  • Bachelor's degree in Business Administration or related field.
  • Open to fresh graduates or unexperienced applicants
  • Average written and verbal communication skills.
  • Fast and accurate typing skills for documentation and data entry.
  • Exceptional organizational abilities with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with office equipment and basic troubleshooting.
  • Ability to prioritize tasks, multitask efficiently, and meet deadlines.
  • Proactive in issue resolution and decision-making.
  • Collaborative attitude with strong interpersonal skills.
  • Flexibility to adapt to changing priorities.
  • Demonstrated ability to handle sensitive information discreetly.
  • Pleasant and professional demeanor with clients and visitors.
  • Proactive approach to process improvements.
  • Willingness to take on additional responsibilities as needed.
