Description

  • Greet Visitors: Welcome and assist guests upon arrival, providing a friendly and professional first impression.
  • Manage Phone Calls: Answer, screen, and direct phone calls to appropriate personnel while taking accurate messages.
  • Schedule Appointments: Organize and manage calendars, including booking and confirming appointments for staff.
  • Administrative Support: Perform general clerical duties such as filing, data entry, and managing correspondence.
  • Maintain Reception Area: Keep the reception area tidy and organized, ensuring a welcoming environment.
  • Handle Inquiries: Respond to visitor inquiries about services, company information, and direct them to the appropriate departments.
  • Process Mail and Packages: Receive, sort, and distribute incoming mail and packages, and prepare outgoing mail as needed.
  • Assist with Billing and Payments: Handle basic billing tasks and process payments as required.
  • Support Team: Collaborate with other departments to ensure smooth operations and assist with additional tasks as needed.
  • Maintain Confidentiality: Ensure all client and company information is handled with discretion and confidentiality.

Requirement

  • Excellent communication and interpersonal skills
  • Proficient in MS Office and office management software
  • Strong organizational skills and attention to detail
  • Ability to multitask and work in a fast-paced environment


Preferred:

  • Previous experience in a receptionist or administrative role
  • Knowledge of customer service principles
