Description

We are seeking a highly organized and detail-oriented Media Event Assistant to support our team in planning, coordinating, and executing media-related events. The ideal candidate will assist in the logistical aspects of media events, from inception to completion, ensuring smooth communication between stakeholders, clients, and vendors. This role requires flexibility and adaptability, as it involves pooling resources and talent to effectively execute media-driven events.


Key Responsibilities:

  • Assist in the planning, coordination, and execution of media events, including press conferences, product launches, media briefings, and influencer events.
  • Coordinate logistics such as venue selection, catering, transportation, and audiovisual setups.
  • Support the creation and management of event schedules, guest lists, and invitations.
  • Serve as a point of contact for media representatives, vendors, and internal teams during event execution.
  • Manage event registration, check-in processes, and guest services.
  • Assist with the preparation and distribution of press materials, media kits, and promotional materials for events.
  • Ensure proper signage and branding are set up at the event location.
  • Monitor and track media coverage and event impact post-event.
  • Help maintain the event budget by tracking expenses and providing reports.
  • Support the media team with event follow-up tasks, including media outreach and gathering feedback.
  • Assist with post-event evaluations and ensure any necessary reports or debriefs are completed.
  • Participate in brainstorming sessions to help refine event strategies and concepts.

Requirements

  • Bachelor’s degree in Communications, Public Relations, Marketing, or a related field (preferred).
  • Proven experience in event planning, project management, or a similar role, ideally in a media or public relations environment.
  • Strong understanding of media and communications channels.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously and under pressure.
  • Strong attention to detail and ability to maintain accuracy in high-pressure situations.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and event management software (e.g., Cvent, Eventbrite, etc.).
  • Ability to work independently and as part of a collaborative team.
  • Flexibility to work occasional evenings and weekends as needed for events.
  • A proactive and enthusiastic attitude with a passion for the media industry.


Preferred Skills and Experience:

  • Experience working with media outlets and journalists.
  • Familiarity with social media platforms and digital media tools.
  • Fluency in additional languages (optional).
  • Experience in virtual event coordination or hybrid event setups.
