Job Summary

The Bookkeeper is responsible for maintaining accurate financial records, processing financial transactions, preparing financial reports, supporting grant and donor compliance requirements, and ensuring adherence to AGCI Philippines' policies and procedures. The Bookkeeper works closely with the Senior Finance Officer to support effective financial management, budget monitoring, accountability, and transparency across all programs and administrative functions. 


Key Responsibilities:

Accounting and Financial Management

  • Record and maintain accounting transactions in the financial system in compliance with AGCI financial policies.
  • Prepare journal entries, ledgers, and supporting schedules in AGCI’s accounting system (the Oracle Netsuite).
  • Verify and recommend approval of the cash advances.
  • Process payroll and ensure the timely and accurate payment of employee salaries and compensation, including the proper computation of employee benefits and statutory deductions. 
  • Prepare and process mandatory government contributions, including SSS, PhilHealth, Pag-IBIG (HDMF), and BIR in coordination with the Senior Finance Officer.
  • Process payments, staff reimbursements, and other financial transactions.
  • Prepare monthly bank and account reconciliations.
  • Maintain complete and accurate financial records and documentation.


Financial Reporting and Budget Monitoring

  • Support the Senior Finance Officer analyze financial information and prepare periodic reports as required by donors, government agencies, and other stakeholders. 
  • Monitor expenditures against approved budgets and report variances.
  • Support cash flow monitoring and financial analysis.


Compliance and Audit Support

  • Ensure compliance with organizational policies, donor requirements, and applicable regulations.
  • Coordinates with internal and external auditors in connection with the annual audit and preparation of the year-end financial statements.
  • Assist in maintaining effective internal controls and financial procedures.


Other Duties

  • Uphold AGCI’s culture of integrity, transparency, and collaboration.
  • Perform other finance-related duties assigned by the Senior Finance Officer.


JOB REQUIREMENTS:

Education

  • Bachelor’s degree in Accounting, Finance, Management Accounting, or a related field.
  • Candidates with relevant accounting/bookkeeping certifications or equivalent professional training may also be considered.


Experience

  • At least 2–3 years of relevant experience in bookkeeping, accounting, or finance, preferably in a nonprofit, NGO, or similar environment.
  • Experience with accounts payable/receivable, payroll, bank reconciliation, cash advances, reimbursements, and financial documentation.
  • Experience supporting audit processes and financial reporting is an advantage.
  • Experience working with donor-funded projects or grant financial requirements is an advantage.


Technical Skills

  • Working knowledge of basic accounting principles and bookkeeping procedures.
  • Ability to prepare and maintain journal entries, ledgers, schedules, reconciliations, and supporting documentation.
  • Knowledge of payroll processing and statutory deductions/contributions, including SSS, PhilHealth, Pag-IBIG, and BIR requirements.
  • Proficiency in Microsoft Excel/Google Sheets and other standard office applications.
  • Experience with accounting software/ERP systems; experience with Oracle NetSuite would be an advantage.
  • Ability to monitor expenditures against budgets and identify basic budget variances.


Knowledge of Compliance

  • Basic knowledge of Philippine tax, payroll, and statutory requirements relevant to the position.
  • Understanding of financial controls, documentation requirements, and proper segregation of duties.
  • Familiarity with audit and compliance requirements is an advantage.
