Job Description

OVERALL PURPOSE:


The Financial Administrative Assistant performs a variety of administrative and clerical tasks, including preparation of collections and disbursement reports, providing support to the company’s clients, managers, and employees and assisting in the daily office requirements. The administrative assistant must manage the company’s documents on financial activities to ensure accurate and timely reporting.


ORGANIZATIONAL SCOPE:

Job Title   :  Administrative Assistant

Reports To    : Finance Director/Management Team

 

 

MAJOR RESPONSIBILITIES:

  1. Administer and execute paperwork to ensure smooth operations
  2. Monitor and record sales and expenses, and maintain client database
  3. Custodian of Sales Invoices and designated representative to deposit sales
  4. Petty Cash Custodian
  5. Submit and reconcile collection reports monthly
  6. Submit and reconcile disbursement reports monthly
  7. Develop and maintain a filing system
  8. Update and maintain office policies and procedures
  9. Research new deals and suppliers
  10. Act as the point of contact for internal and external clients and suppliers
  11. Provide insights/recommendations for the improvement of collections, sales, company operations to Senior Managers for the management team’s consideration

 

OTHER RESPONSIBILITIES:

  1. Organize and schedule appointments
  2. Plan meetings and take detailed minutes
  3. Write and distribute email, correspondence memos, letters, and forms
  4. Assist in payroll preparation
  5. Make and answer phone calls
  6. Coordinate with various government agencies on regulatory requirements (BIR, SEC, Camp Crame PNP, SSS, Philheath, Pag-ibig)
  7. Assist in the promotion and sales of products
  8. Request office supplies and book travel arrangements
  9. Maintain contact lists
  10. Provide general support to visitors

Requirement

Knowledge of Specific Functional work:

  • Background in cash/transaction handling, including Petty Cash Custodianship
  • Inventory management & Sales reporting
  • Intermediate skills in MS Office applications;
  • Knowledge of basic accounting a plus


Industry/Work Experience Required :

  • With experience as Admin Assistant in retail sales, cashiering;
  • Preferably with experience as accounting assistant or worked in Finance department;
  • Experience working in a financial institution;
  • Sales and Marketing Experience is a plus
