Description

1. Reception Duties:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls.
  • Provide basic and accurate information in-person and via phone/email.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, brochures).


2. Administrative Support:

  • Manage and distribute incoming mail and deliveries.
  • Schedule and coordinate appointments and meetings.
  • Assist in the preparation of meetings and conference calls.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).


3. Clerical Tasks:

  • Perform basic bookkeeping, filing, and data entry.
  • Update calendars and schedule meetings.
  • Prepare and maintain office correspondence, reports, and documents.
  • Order office supplies and keep inventory of stock.


4. Customer Service:

  • Respond promptly to customer inquiries.
  • Handle complaints, provide appropriate solutions and alternatives within the time limits, and follow up to ensure resolution.
  • Build sustainable relationships of trust through open and interactive communication.


5. Team Support:

  • Assist colleagues with administrative tasks as needed.
  • Participate in team meetings and contribute to office projects and initiatives.

Requirements

  • Graduate of any college courses
  • With at least 2 years of relevant work experience
  • Proficient in MS Office applications
  • Excellent business communication skills
