Project Assistant Coordinator

Responsibilities

Project Coordination & Administrative Support

• Support estimating workflows through data input and organization
• Handle material estimation, sourcing, and pricing requests
• Track project progress and maintain up-to-date records
• Update project information and ensure accuracy across platforms
• Assist with document creation, processing, and file management
• Maintain organized digital records and project documentation

Scheduling & Communication

• Manage calendars, schedules, and task coordination for the project management team
• Coordinate meetings, timelines, and internal workflows
• Communicate with clients, vendors, and stakeholders primarily via email and internal platforms
• Make outbound calls to vendors, suppliers, and subcontractors as needed
• Gather and relay project-related information to appropriate stakeholders

Operational & Team Support

• Provide day-to-day administrative support to the project management team
• Assist with inbox management and task follow-ups
• Support internal coordination across multiple ongoing and upcoming projects
• Participate in team meetings and maintain active communication throughout the day
• Operate as a fully integrated, real-time member of the team

Preferred Skills & Qualifications

• High attention to detail and accuracy
• Excellent written English communication skills
• Experience with scheduling, data entry, and workflow coordination
• Proficiency in Microsoft Office and other computer programs
• Ability to work independently while remaining highly responsive
• Graduate of Electrical Engineering or Civil Engineering.
• Preferably a licensed EE or CE.
• Minimum 1 year of professional work experience as a Project Coordinator preferred
