About the Role
This Direct Import Operations Coordinator is responsible for managing day-to-day import logistics and operations processes, and ensures shipments are booked on time, required import documentation is accurate and complete, shipment milestones are performed and communicated proactively, and invoice-supporting documents are assembled prior to or immediately after shipment departure. While primarily clerical in nature, it requires strong attention to detail, as it involves handling overseas paperwork and both communicating and coordinating with multiple freight forwarders, various customer traffic teams, and other third-party partners.
Responsibilities
- Monitor open purchase orders and shipment readiness status.
- Coordinate shipment bookings with freight forwarders and factories.
- Review and process factory documentation and receive inventory into client’s ERP system.
- Generate customer shipping document packets & upload them to customer portals and/or via email to customer traffic teams.
- Ensure bookings are secured within required customer shipping windows.
- Follow up on booking confirmations and vessel allocations.
- Monitor cargo-ready dates versus planned ship dates.
- Escalate delays, capacity constraints, missing information, or booking issues immediately.
- Generate & track shipment milestones through customer ship logs.
- Coordinate across a minimum of 5 parties per shipment — requiring strong multi-party follow up and organization
- Manage high volume peak season loads — up to 100+ purchase orders / individual containerized shipments active
Competencies and Qualifications
Must-Have
- 2–5 years of experience in International Import Operations and Supply Chain coordination.
- Experience in international logistics (FOB shipments, import/export documentation, customs requirements)
- Experience supporting US retailer import programs, with hands-on exposure to at least one of the following: Costco, Walmart/Sam’s Club, Target, Amazon, Home Depot, Lowe’s, or similar retailers.
- General ERP proficiency required; hands-on experience with Microsoft Dynamics NAV/ BC365 preferred but trainable
- Elevated Proficiency in Microsoft Office programs, excel, outlook, word.
- Experience with Global import logistics processes & procedures.
- Familiarity with Global import documentation processing and creation.
- Ability to follow up firmly and professionally with factories and agents.
- Comfortable working across various time zones with US teams.
- Able to identify exceptions and escalate in a timely fashion.
Nice-to-Have
- Experience supporting US retail import programs.
- Experience with shipping/importing international 3PL warehouse facilities.
- Experience working with factories in Asia (ex: China, Vietnam, Cambodia).
- Experience with freight forwarder portals (Expeditors – OMB, InforNexus, Maersk SPC, etc.)
