Job Title: Office Secretary (Specializing in Accounting, Bookkeeping, and Marketing)

Job Summary:

We are seeking a dedicated and detail-oriented Office Secretary to join our team. This role will support the office’s administrative functions with a strong focus on accounting, bookkeeping, and marketing duties. The ideal candidate will assist in managing financial records, coordinating marketing efforts, and ensuring smooth day-to-day office operations.


Key Responsibilities:


Accounting and Bookkeeping:

  • Maintain accurate financial records and assist with monthly financial reporting.
  • Process invoices, receipts, and payments in a timely and organized manner.
  • Assist with payroll processing and prepare monthly balance sheets.
  • Reconcile accounts, track expenses, and handle petty cash disbursements.
  • Ensure compliance with company financial policies and procedures.


Marketing Support:

  • Assist with planning and executing marketing campaigns and promotions.
  • Coordinate social media postings and updates, maintaining brand presence online.
  • Help prepare marketing materials, including flyers, brochures, and newsletters.
  • Track marketing expenses and gather data for marketing performance analysis.


Administrative Support:

  • Answer phone calls, manage correspondence, and greet visitors professionally.
  • Organize office files, schedules, and appointments.
  • Maintain office supplies and order new items as needed.
  • Assist in the preparation of reports, presentations, and other office documentation.

Requirement

Education:

  • Minimum of a High School diploma; Associate's or Bachelor’s degree in Business Administration, Accounting, or related field is a plus.


Experience:

  • Previous experience in an office secretary role, with a focus on accounting or bookkeeping. Experience with marketing duties is an advantage.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (e.g., QuickBooks, Xero).
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Familiarity with social media platforms and basic marketing concepts.
