JOB DESCRIPTION: PUBLICATIONS SPECIALIST

The Publications Specialist is responsible for

transforming manuscripts, research outputs, and organizational content into

professionally designed, print‑ready publications. The role requires advanced

technical skills in layout and design, strong conceptual understanding of

content structure, and unwavering commitment to quality and intellectual

integrity.

 Key Responsibilities

  • Design and produce print‑ready books, manuals, reports, and publications

using advanced publishing software

  • Apply micro‑typography principles (tracking, kerning, leading,

widows/orphans control)

  • Create and manage master pages, style sheets, and global formatting systems
  • Ensure accurate color space management (RGB vs CMYK) and proper color
  • profiling
  • Conduct pre‑flight checks, troubleshoot bleed, DPI, font embedding, and
  • export issues
  • Coordinate with authors, editors, printers, and external partners
  • Prepare digital versions (PDF, EPUB) when required
  • Maintain strict adherence to intellectual property, copyright, and asset
  • integrity
  • Manage version control, file organization, and publication archives
  • Support administrative tasks related to publication scheduling, procurement, and

vendor coordination

JOB SPECIFICATIONS

Educational Background

  • Bachelor’s degree in Communication, Graphic Design, Publishing, Multimedia Arts,

Journalism, English, or related fields

  • Training or certification in Adobe InDesign, Affinity Publisher, or digital

publishing tools is an advantage

Experience

  • Minimum 2–5 years experience in book publishing, editorial design, or

layout production

  • Experience working with printing presses, book printers, or publication houses preferred
  • Familiarity with academic, legal, or technical publications is a strong advantage

Technical Skill Sets (Required)

1. Advanced Typography & Typesetting

  • Mastery of tracking, kerning, leading
  • Control of widows, orphans, and ragged text
  • Ability to create visually balanced pages

2. Master Page & Global Style Management

  • Creation of structural style sheets
  • Consistent application of paragraph, character, and object styles
  • Efficient multi‑chapter formatting

3. Color Space Literacy

  • RGB vs CMYK conversion
  • Ink limit awareness
  • ICC color profile management

4. Pre‑flight & Export Optimization

  • Troubleshooting bleed, margins, and trim sizes
  • Ensuring 300 DPI image standards
  • Correct font embedding and packaging for printers
