JOB SUMMARY:

The Emerging Programs Associate is a key player responsible for smooth communication with developers, overseeing progress monitors, managing financial processes, maintaining calendars, and organizing events. The coordinator aims to enhance program quality, boost efficiency, and contribute to overall success. JOB RESPONSIBILITIES:

  • Communication and Coordination:
  1. Facilitate communication regarding content-related concerns among content developers and accounts management teams.
  2. Serve as a communication liaison for emerging programs, managing inquiries and directing communications appropriately. Monitor group chats for clients on Viber and/or Messenger, addressing queries in the absence of Progress Monitors.
  3. Organize and coordinate meetings, including scheduling, preparing agendas, and taking meeting minutes as required. Participate in meetings and training sessions with internal and external stakeholders, serving as the company's representative to ensure all aspects are in order.
  4. Conduct emerging program demos on an as-needed basis. Assist accounts management teams in addressing concerns during table discussions nation-wide.
  • Administrative and Financial Management
  1. Compile and manage salary processing for various services and other related fees.
  2. Maintain and update the programs’ calendar, ensuring effective scheduling and communication of appointments, meetings, and deadlines. 
  3. Prepare accurate documents, reports, and presentations related to emerging programs. 
  4. Maintain organized and up-to-date records, files, and databases related to emerging programs' projects and activities. Manage confidential and sensitive information.
  • Event and Travel Coordination:
  1. Organize program demos, meetings, or training related to emerging programs. Ensure participating departments are in attendance for demos, meetings, trainings.
  2. Coordinate with identified departments in arranging travel logistics (flights, accommodations, and transportation) for emerging program developers.
  • Progress and Performance Management
  1. Provide guidance to progress monitors, instilling the culture and attitude of a Phoenix Sibs employee, and enhancing the quality of the message and output for emerging programs.
  • Additional Duties
  1. Perform other additional and/or alternative duties as assigned, including supporting other departments or executives as needed.


Requirements

  • With three (3) or more years of experience in the Teaching/Education field.
  • Additional experience as Admin/Office Support is an advantage.
  • A Bachelor’s Degree in Education, Communication, or a related field
  • Strong interpersonal and communication skills for positive interactions with customers, colleagues, and departments. 
  • Highly organized, detail-oriented, and proactive in problem-solving to ensure an efficient customer experience. 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Canva, and G Suite (Drive, Slides, Docs, Sheets) for report creation and data management.
