Description

The Administrative Manager is responsible for the smooth and efficient running of the organization's administrative functions. This includes managing office supplies, overseeing the administrative staff, maintaining records, and ensuring compliance with company policies and regulations. The Administrative Manager plays a key role in supporting the overall operational efficiency of the organization.


Key Responsibilities:

Office Management:

  • Oversee daily office operations to ensure a smooth and efficient work environment.
  • Manage office supplies and equipment, ensuring availability and functionality.
  • Coordinate maintenance and repairs of office equipment and facilities.

Team Leadership:

  • Supervise and lead the administrative team, providing guidance and support.
  • Conduct performance evaluations and provide feedback to administrative staff.
  • Facilitate professional development and training opportunities for the administrative team.

Records Management:

  • Maintain and organize company records, both physical and digital.
  • Ensure accurate and timely data entry and record keeping.
  • Develop and implement record-keeping policies and procedures.

Policy and Procedure Compliance:

  • Ensure compliance with company policies, procedures, and regulations.
  • Develop and update administrative policies and procedures as needed.
  • Train staff on new policies and procedures.

Budget Management:

  • Assist in the preparation and management of the administrative budget.
  • Monitor expenditures and identify cost-saving opportunities.
  • Approve and track administrative expenses.

Communication and Coordination:

  • Serve as a point of contact for internal and external stakeholders.
  • Coordinate meetings, conferences, and events, including logistics and scheduling.
  • Prepare and distribute meeting agendas, minutes, and other documentation.

Project Management:

  • Assist in planning and executing special projects and initiatives.
  • Coordinate cross-departmental activities to ensure project success.
  • Monitor project timelines and deliverables.

Technology and Systems:

  • Oversee the implementation and maintenance of office technology and systems.
  • Provide technical support and training to staff as needed.
  • Evaluate and recommend new office technologies and tools.


Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an Administrative Manager or similar role.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software (e.g., MS Office Suite) and office management systems.
  • Knowledge of basic accounting principles and budgeting practices.
  • Ability to handle confidential information with discretion.


Preferred Skills:

  • Experience with project management software.
  • Familiarity with HR practices and procedures.
  • Understanding of facilities management.
  • Certification in office management or administrative support.
