Description

Objective

To strengthen inter-departmental operations by providing targeted administrative support, optimizing

processes, and facilitating efficient communication, emphasizing the company's cohesive growth.


Key Responsibilities

1. Document Management

a. Maintain, file, and safeguard both digital and physical documents.

b. Coordinate document printing and distribution.

c. Ensure privacy and security of documents.


2. Internal and External Communication

a. Manage incoming calls, emails, and physical mail.

b. Welcome and guide company visitors.

c. Maintain confidentiality.


3. Agenda and Event Coordination

a. Oversee calendars as needed by superior activities.

b. Organize company meetings and inter-departmental events.

c. Coordinate with internal team and external parties for events.


4. Digital Asset Management

a. Administer and refresh digital databases and contact lists.

b. Assure periodic data backups.

c. Organize digital assets including but not limited to photos, videos, 3D models, CAD drawings,

documents, and other forms of media.

d. Standardize management of digital assets.

e. Secure digital assets.


5. Collaborative Administrative Support

a. Standardize processes and documentation.

b. Lend support to teams and departments within the company.

c. Coordinate with external service providers and consultants.

d. Meet inter-departmental deliverables in a timely manner.


6. Operational Enhancement

a. Aid in implementing operational strategies.

b. Contribute to seamless inter-departmental workflows.

c. Reduce loss and Increase efficiency.


7. Assist Superior and/or Assigned Superiors

a. Organize and execute Superior’s To-do list.

b. Turn plans into actionable items and follow-through with the execution.

c. Determine, forecast, optimize, and schedule deadlines based on priority.

d. Anticipate and proactively address concerns.

e. Maximize situational awareness of Superiors.

f. Perform other tasks and duties as assigned, including occasional personal errands.

Requirements

Skills and Qualifications

1. Bachelor’s Degree in Business Administration or a related discipline.

2. Prior experience in a multifaceted administrative role.

3. Familiarity with standard office tools.

4. Adept at using MS Office, particularly Excel and Word.

5. Proficient communication skills in both English and Filipino.

6. Capability to manage and prioritize tasks effectively.

7. Approachable demeanor with adaptability.

8. Rigorous attention to detail and analytical thinking.

9. Willingness to take initiative.

10. Collaborative mindset and resilience under pressure.


Location: Taguig City, Metro Manila, Philippines


SALARY & BENEFITS OFFERED:

18K-20K Starting Salary

15 VL & SL Upon Regularization + HMO


WORKING SCHEDULE: WORKING ARRANGEMENT:

Monday-Friday (8:00 AM - 5:00 PM)
