The Administrative Manager is responsible for overseeing the daily administrative operations of the organization, ensuring efficient office management, compliance with company policies, and effective support services for all departments. This role supervises administrative staff, manages office resources, coordinates facilities, and implements systems and procedures to improve organizational efficiency.
Duties and Responsibilities:
- Oversee the day-to-day administrative operations of the company.
- Develop, implement, and monitor administrative policies, procedures, and systems.
- Supervise, train, and evaluate administrative personnel to ensure high performance.
- Manage office facilities, equipment, supplies, and maintenance requirements.
- Prepare and monitor the administrative department's budget and control operational expenses.
- Coordinate procurement of office supplies and services while ensuring cost efficiency.
- Ensure company records, contracts, permits, and administrative documents are properly maintained.
- Oversee vendor relationships, service contracts, and third-party providers.
- Coordinate office renovations, repairs, and facility improvements as needed.
- Ensure compliance with company policies, health and safety regulations, and government requirements.
- Organize company meetings, events, and administrative logistics.
- Support senior management with administrative reports, presentations, and documentation.
- Improve office processes by identifying operational inefficiencies and implementing solutions.
- Monitor inventory of office assets and maintain accurate records.
- Handle administrative concerns and resolve operational issues promptly.
- Coordinate with HR, Finance, IT, and other departments to ensure smooth operations.
- Maintain confidentiality of sensitive company information and records.
- Monitor the performance of outsourced service providers such as housekeeping, security, and maintenance.
- Prepare periodic administrative reports and recommend process improvements.
- Perform other duties assigned by management.
Qualifications:
- Bachelor's degree in Business Administration, Management, Office Administration, or a related field.
- At least 5 years of relevant administrative experience, with 2–3 years in a managerial or supervisory role.
- Strong leadership and people management skills.
- Excellent organizational and time management abilities.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Knowledge of office management systems and administrative procedures.
- Experience in budget preparation and expense monitoring.
- Strong analytical and problem-solving skills.
- Ability to manage multiple projects and priorities simultaneously.
- High level of professionalism, integrity, and confidentiality.
- Excellent negotiation and vendor management skills.
- Ability to work under pressure and meet deadlines.
- Detail-oriented with excellent documentation and record-keeping skills.
- Knowledge of government compliance and regulatory requirements is an advantage.
- Strong decision-making and conflict resolution skills.
- Experience managing office facilities and administrative operations.
- Ability to lead organizational improvements and process optimization.
- Customer service-oriented with a proactive approach to problem-solving.
- Willing to work onsite and render extended hours when business needs require.
