We are seeking a reliable, organized, and detail-oriented Warehouse Administrator to manage warehouse monitoring, inventory records, documentation, and data encoding. The role is responsible for maintaining accurate records of materials, tools, equipment, and stock movements.

The Warehouse Administrator may also be required to travel to other project sites to conduct physical inventory checks, verify records, update monitoring reports, and coordinate with site personnel. 

Key Responsibilities: 

  • Monitor the daily movement, availability, and condition of materials, supplies, tools, and equipment.
  • Maintain accurate and updated inventory records for the warehouse and assigned project sites.
  • Record and encode all incoming, outgoing, transferred, returned, damaged, and issued items.
  • Prepare and update inventory monitoring sheets, stock cards, databases, and other warehouse records.
  • Verify actual inventory quantities against recorded balances.
  • Conduct regular physical inventory counts and assist in inventory reconciliation.
  • Identify and report inventory shortages, excess stock, damaged items, and record discrepancies.
  • Monitor the issuance and return of tools, equipment, materials, and supplies.
  • Check and validate delivery receipts, material request forms, issuance slips, transfer forms, and other supporting documents.
  • Coordinate with warehouse personnel, project engineers, site administrators, purchasing staff, and other departments regarding inventory requirements and updates.
  • Travel or be assigned to other project sites when necessary to conduct inventory checks and update monitoring records.
  • Verify the actual materials, tools, and equipment available at project sites.

Qualifications: 

  • Graduate of Business Administration, Office Administration, Logistics, Supply Chain Management, Information Technology, or a related course.
  • Previous experience in warehouse administration, inventory monitoring, data encoding, or a related position is preferred.
  • Proficient in Microsoft Excel, Word, and other data-recording applications.
  • Strong attention to detail and accuracy in recording and encoding information.
  • Good organizational, documentation, and record-keeping skills.
  • Able to identify and reconcile inventory discrepancies.
  • Experience with inventory management or ERP systems is an advantage.
