Description

The Real Estate Secretary will provide administrative and clerical support to ensure the smooth operation of real estate transactions and office functions. This role requires familiarity with real estate terminology, processes, and document management, as well as excellent organizational and communication skills.

Requirements

Administrative Support:

  • Manage schedules, appointments, and property viewings for agents and clients.
  • Prepare and process real estate documents such as contracts, leases, and agreements.
  • Maintain and update client databases, property listings, and transaction records.
  • Answer and direct phone calls, emails, and inquiries professionally.

Transaction Coordination:

  • Liaise with clients, agents, and external stakeholders (e.g., attorneys, inspectors, accountant, and banks).
  • Monitor and follow up on the progress of real estate deals.
  • Ensure all required documents are completed, signed, and filed accurately.
  • Prepare closing documents and coordinate with title companies or escrow agents.

Office Management:

  • Maintain a well-organized filing system for physical and digital records.
  • Order and manage office supplies as needed.
  • Ensure a professional and welcoming office environment.

Other Duties:

  • Handle sensitive information with confidentiality and discretion.
  • Assist with event planning, open houses, and client meetings.
  • Support real estate agents and the team with ad hoc tasks.

Skills and Qualifications:

  • Proven experience as a secretary or administrative assistant in a real estate setting (preferred).
  • Familiarity with real estate terminology, practices, and documentation.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and ability to meet deadlines in a fast-paced environment.

Education and Experience:

  • High school diploma or equivalent (required); associate degree or higher (preferred).
  • 1–3 years of experience in administrative roles; real estate experience is a plus.
