Executive Office Support

Ensure the Executive Office and the Vice President/COO's work area are well-maintained and organized.

  • Handle cash advances, liquidations, and travel and accommodation requests for the Executive Office.
  • Act as the key contact person for Business Partners and Principals on sales/business activities requiring coordination with the Executive Office.
  • Prepare, disseminate, and communicate instructions, operational announcements, and other business communications from the Executive Office.
  • Manage the COO's calendar, schedule appointments, and coordinate meetings efficiently.

Sales and Operations Support

  • Approve Special Price Requests through the SOFS system.
  • Prepare monthly and quarterly sales incentive reports, including FLU and other special incentives.
  • Serve as the primary contact for the Sales Team, addressing their inquiries.
  • Review, initially approve, and forward sales requirements or promotional support requests from the nationwide Sales Team to the Vice President/COO for final approval.
  • Approve administrative requirements and requests for Sales and Operations based on requirements and established approval limits.
  • Assist in the training, mentoring, and coaching of the Sales Team.
  • Schedule and organize training sessions for the Sales Team, including but not limited to new hire onboarding and product knowledge training.
  • Arrange travel and accommodations for the Executive Office and Sales Team.
  • Plan and manage events and activities for the Sales Team and the Executive Office.

Administrative Role

  • Supervise and evaluate staff performance, provide feedback, and foster skill development.
  • Communicate goals and expectations to the executive and administrative staff.
  • Conduct and maintain regular meetings with the team regarding business matters affecting the department.
  • Optimize department processes by managing schedules and timelines.
  • Manage the team's monthly work schedule.
  • Manage petty cash for the L300 van.
  • Review, organize, and approve service requests for the L300 van.
  • Coordinate with department heads on specific administrative requests.
  • Oversee nationwide administrative activities, including procurement, building repairs, maintenance, and disaster monitoring for events such as typhoons, fires, earthquakes, and power outages.
  • Ensure compliance with all business licenses and permits across office units.
  • Address technical and operational queries related to branch operations by providing referrals, recommendations, or approvals as needed.
  • Manage the company's properties, equipment, and devices.
  • Oversee supply usage for each branch unit.
  • Approve purchase orders for Sales, Administrative, and Provincial Hub requirements (e.g., office supplies, office equipment, marketing collaterals, and price proposals to customers).
  • Organize and safeguard business documents, including promotional materials, price lists, proposals, and incoming and outgoing documents.
  • Handle incoming calls, respond to queries, and manage guest and visitor access.
  • Serve as the custodian and team lead for ERP Access, Cash Advances, Office Supply Management, and property oversight.
  • Perform other tasks that may be assigned from time to time.
