Reports To: Sales Support Supervisor

Job Summary

The Sales Support Associate is responsible for assisting the sales team in delivering excellent service to business clients by ensuring that all orders are processed accurately and fulfilled on time. This role acts as the bridge between Sales, Warehouse, and Customers—ensuring smooth order processing, clear communication, and high customer satisfaction.

Key Responsibilities

1. Order Processing & Accuracy

• Process B2B customer orders accurately and in a timely manner
• Validate order details including pricing, quantities, discounts, and delivery instructions
• Ensure all orders are properly encoded in the system
• Double-check order completeness before submission to warehouse

2. Coordination with Warehouse & Operations

• Coordinate with warehouse team to ensure timely picking, packing, and dispatch
• Monitor order status from processing to delivery
• Escalate urgent or problematic orders to ensure deadlines are met
• Ensure special handling requirements (bulk orders, fragile items, priority shipments) are followed

3. Customer Support (B2B Clients)

• Respond to customer inquiries regarding orders, product availability, and delivery timelines
• Provide order updates and proactively communicate delays or issues
• Assist in resolving customer concerns related to fulfillment and delivery

4. Sales Team Support

• Assist sales team in preparing quotations, order summaries, and client requests
• Help track customer orders, repeat purchases, and account activity
• Support account managers in maintaining strong relationships with B2B clients

5. Documentation & Reporting

• Maintain accurate records of orders, invoices, and transactions
• Prepare daily/weekly order status reports
• Track incomplete, delayed, or problematic orders and ensure closure
• Flag recurring issues to improve processes

Qualifications

• Bachelor’s degree in Business Administration, Marketing, or related field (preferred)
• At least 1 year experience in sales support, customer service, or order processing
• Experience handling B2B accounts is a strong advantage
• Familiarity with ERP/CRM systems is a plus
• Proficient in Microsoft Excel or Google Sheets
