The Quality Systems & Documentation Officer plays a dual role in supporting Andoly’s quality assurance initiatives. This role is primarily responsible for writing, standardizing, and maintaining documentation related to production, quality control, and compliance processes. Once documentation is in place, the role will evolve to support implementation, track nonconformances, and assist in process improvement efforts.


The ideal candidate is organized, detail-oriented, and able to work across departments to capture and communicate processes clearly—while also having the initiative to monitor execution and support quality system maintenance.


Key Responsibilities

A. Documentation & Standardization (Initial Focus)

  • Create, edit, and format Standard Operating Procedures (SOPs), QA forms, work instructions, and other controlled documents based on input from QA, production, maintenance, and engineering teams.
  • Interview process owners or observe procedures to capture accurate step-by-step documentation.
  • Establish and maintain a document control system, including version control, approval tracking, and master lists.
  • Ensure that documents comply with formatting and internal content standards.
  • Update and archive outdated forms and procedures in coordination with QA management.


B. Quality Systems Support (Ongoing & Future-Focused)

  • Assist in implementing documented procedures on the production floor and provide support during rollout (e.g., awareness, walkthroughs).
  • Monitor conformance through spot checks, document audits, and feedback loops.
  • Log and track nonconformances, deviations, and errors using QA forms and digital logs.
  • Support the documentation and follow-up of corrective and preventive actions (CAPA), including root cause documentation.
  • Assist with QA readiness for regulatory audits or certification processes (e.g., ISO 9001, GMP) if pursued in the future.
  • Coordinate with line leaders, operators, and support staff to collect observations and improve procedural clarity.


Qualifications

  • Bachelor's degree in Industrial Engineering, Food Tech, Chemical Engineering, or any related technical or documentation-oriented field preferred.
  • At least 1 year of experience in manufacturing, QA, or technical documentation is an advantage.
  • Strong writing and organizational skills — able to convert verbal or operational input into structured documents.
  • Familiarity with QA/QC processes in a manufacturing setting is a plus.
  • Working knowledge of Microsoft Word and Excel (for document formatting and tracking).
  • Willingness to learn quality system tools (e.g., root cause analysis, CAPA, ISO clause mapping).
  • Detail-oriented, proactive, and able to work independently with minimal supervision.


Working Conditions

  • Office-based with regular visits to production areas to observe processes and assist in implementation.
  • Must be comfortable interacting with production staff, engineers, and QA personnel.
  • May occasionally assist in preparing materials for government compliance or certification initiatives.
