Job Summary:

The Procurement Staff is responsible for sourcing, purchasing, and coordinating the delivery of materials, equipment, tools, and services required for construction and solar energy projects. The role ensures timely procurement of quality products at competitive prices while maintaining compliance with company policies, project requirements, and supplier agreements.

Key Responsibilities:

Procurement and Purchasing

  • Receive and process purchase requests from project sites and departments.
  • Source suppliers, contractors, and vendors for construction and solar-related materials and services.
  • Obtain and evaluate quotations based on price, quality, specifications, delivery schedules, and payment terms.
  • Prepare Purchase Orders (POs) and ensure proper approvals before issuance.
  • Monitor purchase orders and coordinate deliveries to ensure timely receipt of materials.
  • Negotiate pricing, terms, and conditions with suppliers to achieve cost savings.

Supplier Management

  • Develop and maintain a reliable supplier database.
  • Evaluate supplier performance based on quality, delivery, pricing, and service.
  • Establish and maintain positive relationships with suppliers and subcontractors.
  • Assist in accrediting and onboarding new suppliers.

Inventory and Material Coordination

  • Coordinate with warehouse personnel regarding stock availability and replenishment requirements.
  • Monitor inventory levels to prevent shortages and overstocking.
  • Ensure purchased materials conform to project specifications and quality standards.
  • Coordinate with project engineers, site supervisors, and warehouse personnel regarding material requirements.

Documentation and Reporting

  • Maintain accurate procurement records, quotations, purchase orders, delivery receipts, and supplier contracts.
  • Prepare procurement reports, cost analyses, and purchasing summaries.
  • Track procurement status and update project teams regarding deliveries and order progress.
  • Ensure all procurement activities comply with company policies and audit requirements.

Compliance and Cost Control

  • Ensure procurement activities comply with company policies, contractual obligations, and applicable regulations.
  • Support cost-reduction initiatives and value-engineering efforts.
  • Identify alternative suppliers and materials when necessary without compromising quality and project requirements.

Qualifications:

  • Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, Engineering, or a related field.
  • At least 1–2 years of procurement or purchasing experience, preferably in construction, renewable energy, or solar projects.
  • Knowledge of construction materials, electrical components, solar panels, inverters, mounting systems, and related equipment is an advantage.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Experience with ERP or procurement systems is an advantage.
