- Evaluate and research potential vendors and suppliers, ensuring they are reliable, cost-effective, and offer the best value.
- Compare and evaluate offers from suppliers to select the most appropriate options for the company’s needs.
- Negotiate contracts with suppliers, including terms of agreement, pricing, and delivery schedules.
- Ensure vendor compliance with agreed-upon terms and quality standards.
- Prepare and process purchase orders (POs) in accordance with the company’s policies and procedures.
- Review PO proofs for accuracy and completeness, ensuring that all details match the requisition.
- Monitor the status of POs to ensure timely delivery and address any delays or issues promptly.
- Track orders and ensure timely shipment to meet project timelines and avoid shortages.
- Evaluate requisitions based on priorities and available stock to ensure timely replenishment.
- Coordinate with stock custodians to ensure proper storage and organization of purchased goods.
- Maintain and update reports to monitor inventory levels and compare actual stock against purchase requisitions.
- Review the quality of purchased products and ensure they meet the company’s standards.
- Handle and monitor claims for defective, missing, or incorrect items/parts from vendors and factories.
- Ensure the quality execution of all purchasing and logistics duties to maintain smooth operations.
- Monitor vehicle trip tickets daily to ensure all vehicle-related documentation is up to date.
- Ensure vehicles are well-maintained by monitoring the daily checklist and ensuring they are in good working condition.
- Oversee preventive maintenance for all machines and equipment to ensure their proper functioning and reduce downtime.
- Coordinate logistics for timely delivery and ensure smooth flow of goods from suppliers to the warehouse or clients.
- Prepare and plan liaison schedules based on project deadlines and urgency.
- Gather additional requests or errands from different departments and follow up on unaccomplished tasks.
- Ensure effective communication with other departments to support smooth operations.
- Perform other duties as assigned by the management to support business operations and company goals.
