The Purchasing Officer is responsible for sourcing, purchasing, and monitoring the delivery of food, beverages, kitchen supplies, equipment, and other operational requirements for all restaurant branches. The role ensures timely procurement, cost efficiency, quality standards, and compliance with company policies.


Key Responsibilities

Procurement & Purchasing

· Source and negotiate with suppliers to obtain the best quality products at competitive prices.

· Process purchase orders and ensure timely procurement of all operational requirements.

· Maintain adequate inventory levels to support restaurant operations.

· Monitor supplier performance, pricing, and product quality.

· Identify alternative suppliers to ensure continuity of supply.

Vendor Management

· Build and maintain strong relationships with suppliers and service providers.

· Conduct regular supplier evaluations and accreditation.

· Negotiate contracts, payment terms, and pricing agreements.

· Resolve supplier-related issues, including delivery delays and product quality concerns.

Inventory & Cost Control

· Coordinate with warehouse and store teams regarding stock requirements.

· Monitor inventory levels and consumption trends.

· Assist in cost-saving initiatives and procurement planning.

· Analyze purchasing data and recommend cost-effective purchasing strategies.

Quality Assurance

· Ensure all purchased products meet company specifications and quality standards.

· Coordinate with operations and kitchen teams regarding product quality concerns.

· Verify compliance with food safety and regulatory requirements.

Documentation & Reporting

· Maintain accurate purchasing records, contracts, quotations, and supplier databases.

· Prepare procurement reports, purchase summaries, and cost analyses.

· Ensure proper documentation and approval of purchase requests and purchase orders.

· Monitor and reconcile deliveries against purchase orders and invoices.

Qualifications

· Bachelor's degree in Business Administration, Supply Chain Management, Purchasing, or a related field.

· Minimum of 2–3 years of purchasing experience, preferably in the food and beverage or restaurant industry.

· Strong negotiation and supplier management skills.

· Knowledge of inventory management and procurement processes.

· Proficient in Microsoft Office, particularly Excel.

· Excellent analytical, organizational, and communication skills.

· Ability to work in a fast-paced, multi-branch restaurant environment.

· Cost savings achieved through supplier negotiations.

· On-time delivery rate of purchased items.

· Supplier performance and quality compliance.

· Purchase order processing accuracy.

· Inventory availability and stock-out prevention.

· Procurement budget compliance.
