Procurement & Inventory Controller

Key responsibilities

• Identifying, evaluating and sourcing suitable suppliers and vendors for materials, equipment and services needed for property management operations
• Preparing and issuing purchase orders, ensuring accuracy of specifications, quantities and pricing
• Negotiating contracts and terms with suppliers to achieve competitive pricing and favourable payment conditions
• Monitoring inventory levels and coordinating with relevant departments to ensure adequate stock availability without over-purchasing
• Processing and verifying purchase invoices against purchase orders and delivery receipts to ensure accuracy
• Maintaining organised records of all procurement transactions, supplier information and contractual agreements
• Liaising with internal stakeholders to understand procurement requirements and timelines
• Ensuring compliance with company procurement policies, regulatory requirements and ethical purchasing standards
• Building and maintaining positive working relationships with existing and potential suppliers
• Identifying opportunities for cost reduction and process improvements within the procurement function

What we're looking for

• Proven experience in a procurement or purchasing role, ideally within property management, facilities management, construction or a related industry
• Strong knowledge of procurement processes, supplier management and inventory control practices
• Proficiency with procurement software and Microsoft Office applications
• Excellent negotiation skills with the ability to secure competitive pricing and advantageous terms
• Strong organisational and attention to detail skills, with the ability to manage multiple suppliers and purchase orders simultaneously
• Good communication skills and the ability to liaise effectively with suppliers and internal teams
• Understanding of relevant regulations and compliance requirements in procurement
• Diploma or degree qualification in supply chain management, business administration, commerce or a related field
• Strong analytical skills and the ability to identify cost-saving opportunities
• Ability to work independently and as part of a team in a fast-paced environment
