Job Description

About the Role

We are looking for a highly organized and detail-oriented Paralegal to support attorneys and case managers in the preparation, organization, and management of legal matters.


The ideal candidate has strong experience with legal drafting, document review, case file management, and deadline tracking and is comfortable working with sensitive legal information. Experience supporting trust and estate matters, probate, estate administration, business litigation, or other litigation-related matters is highly preferred.


This role requires someone who can produce accurate, court-ready documentation, manage multiple priorities, and work independently while maintaining close coordination with attorneys and case managers.


Key Responsibilities


Legal Drafting & Documentation

  • Prepare and format pleadings, motions, petitions, discovery documents, correspondence, and other legal documents.
  • Ensure documents are clear, accurate, professionally formatted, and compliant with applicable legal requirements.
  • Review documents for grammatical, formatting, factual, and procedural errors before submission.
  • Assist attorneys in preparing materials for hearings, depositions, trials, and other legal proceedings.


Document Review & Quality Assurance

  • Review legal documents for completeness, accuracy, formatting, and compliance.
  • Identify missing information, inconsistencies, errors, and potential compliance issues.
  • Maintain high-quality, court-ready documentation while minimizing the need for revisions.


Case File & Evidence Management

  • Maintain organized and structured electronic case files.
  • Organize exhibits, supporting documents, evidence, and other case-related materials.
  • Ensure documents are properly named, stored, version-controlled, and easily retrievable.
  • Maintain consistency and clarity across multiple active and complex cases.


Deadlines & Compliance

  • Track important filing deadlines, hearings, discovery deadlines, and other case milestones.
  • Monitor court-specific requirements and ensure assigned tasks are completed on time.
  • Maintain calendars, task trackers, and case updates to support attorneys and case managers.


Case Management & Administrative Support

  • Update CRM and case management systems with case activities, documents, and relevant information.
  • Maintain accurate case records and documentation.
  • Assist with cost/expense tracking and other case-related administrative tasks, as applicable.
  • Coordinate with attorneys and case managers to ensure documentation, deadlines, and case activities remain aligned.


Confidentiality & Professionalism

  • Handle confidential client and legal information with discretion.
  • Maintain high ethical and professional standards when dealing with sensitive legal matters.
  • Communicate professionally with attorneys, case managers, clients, and other stakeholders.


Qualifications Required

  • Previous experience working as a Paralegal or in a similar legal support role.
  • Strong knowledge of legal documentation, pleadings, motions, petitions, discovery, and legal correspondence.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to producing error-free work.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple cases, tasks, and deadlines simultaneously.
  • Ability to work independently while effectively coordinating with attorneys and other team members.
  • Strong proficiency in Microsoft Office, particularly Word and Outlook.


Preferred

  • Experience supporting Trust Administration, Probate, Estate Distribution, or Business Litigation matters.
  • Experience with California legal practice and court filing procedures.
  • Familiarity with California-specific filing requirements and court rules.
  • Experience using CRM or legal case management systems.
  • Experience managing exhibits, evidence, discovery materials, and supporting documentation.
  • Experience working with U.S.-based law firms or attorneys.
