The Merchandising Administrator provides vital clerical and operational support to the team. This role is primarily responsible for ensuring product data accuracy, managing barcode generation and printing, maintaining inventory records, and handling day-to-day administrative tasks. The ideal candidate is highly organized, detail-oriented, and capable of managing repetitive technical tasks with speed and precision.


Key Responsibilities:


MERCH

Barcode & Label Management

  • Create, format, and print accurate barcode labels (UPC, EAN, or internal SKUs) for new and existing inventory.
  • Absolute precision is required when dealing with SKUs, pricing numbers, and barcode sequences to prevent inventory errors.
  • Resolve any barcode printing and scanning errors or system mismatches in collaboration with merchandising and IT teams.

Sample Preparation and Management

  • Prepare product samples for customer presentations, meetings, trade shows, and evaluations.
  • Organize, label, pack, and distribute samples according to the requirements.
  • Maintain an inventory of product samples and monitor sample requests and returns.
  • Ensure samples are presented professionally and delivered on schedule.


VM

POP Material Preparation

  • Print and cut Point-of-Purchase (POP) materials according to approved specifications and dimensions. 
  • Ensure accuracy and quality of all printed VM materials before dispatch. 
  • Organize and maintain digital and physical files of approved POP artworks. 

Purchase Request Processing

  • Review and consolidate Purchase Requisition Forms (PRFs) and ensure all supporting documents are complete. 
  • Submit approved PRFs to the Procurement team for Purchase Order (PO) creation. 
  • Track PRF and PO status and provide updates to suppliers. 

Store & Supplier Coordination

  • Coordinate with stores and suppliers regarding permit requirements for VM activities, installations, and ingress/egress. 
  • Ensure all necessary permits and documents are secured before project implementation. 

Documentation & Dispatch

  • Prepare and maintain packing lists, transmittal forms, gate passes, and other required documents for the shipment of VM materials and tools. 
  • Coordinate the dispatch and delivery of POP materials and VM tools to stores and logistics team. 
  • Monitor shipment status and ensure timely receipt by intended recipients. 

Clerical & Data Administration

  • Maintain organized filing systems and documentation.
  • Respond to inquiries from internal teams and external partners.
  • Perform other administrative duties as assigned.
  • Occasional light lifting (e.g., VM tools, barcode label rolls or product samples).

Qualifications and Skills

  • Bachelor's degree in Business Administration, or a related field (preferred).
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Strong organizational and administrative skills.
  • Excellent attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines.
