Job Requirements

  • Bachelor’s degree in Customs Administration, Logistics, Supply Chain Management, Business Administration, or related field
  • Minimum of 2–3 years of experience in importation, customs compliance, logistics coordination, procurement, or purchasing support
  • Experience handling import permits, customs documentation, and shipment coordination
  • Knowledge of importation procedures and regulatory compliance requirements
  • Good written and verbal communication skills in English and Filipino
  • Strong coordination and interpersonal skills
  • Ability to communicate effectively with suppliers, brokers, shipping lines, and government agencies
  • Detail-oriented with strong follow-up and organizational skills
  • Ability to work under pressure and manage multiple shipment timelines



Responsibilities

The Procurement Assistant is responsible for supporting the company’s procurement and importation operations by coordinating shipment processing, permit applications, supplier communication, and documentation monitoring. The role assists in ensuring timely importation, customs clearance, and delivery of goods while maintaining compliance with government and regulatory requirements. The position also supports sourcing activities for local and international suppliers, monitors shipment schedules, and maintains accurate records of importation and procurement documents.


1.Importation & Compliance

  • Monitor import shipments from port arrival to warehouse delivery.
  • Assist in ensuring timely processing and release of shipments and containers.
  • Track shipment schedules, vessel arrivals, delivery timelines, and warehouse receiving status.
  • Coordinate with customs brokers regarding customs clearance and shipment release requirements.
  • Assist in monitoring compliance with importation and regulatory requirements.
  • Report shipment concerns such as delays, inspections, and documentation issues to the immediate supervisor.
  • Support coordination of urgent shipment-related concerns and follow-ups..

2.Documentation and Permit Processing

  • Process online SPS applications through the Intercommerce Portal.
  • Review and validate importation documents for completeness and accuracy.
  • Check shipping documents, including:
  • Bill of Lading
  • Commercial Invoice
  • Packing List
  • Certification of Origin
  • Import Permits and other supporting documents
  • Ensure completeness of documentary requirements for shipment and container release.
  • Maintain organized filing and monitoring of shipment records, permits, and related documents.
  • Prepare and organize documents required for audits and government inspections.


3.Coordination & Communication

  • Assist in coordinating with brokers, shipping lines, and government agencies regarding shipment and importation requirements
  • Support communication and follow-ups with regulatory bodies such as:
  • Bureau of Customs (BOC)
  • Food and Drug Administration (FDA)
  • Bureau of Fisheries and Aquatic Resources (BFAR)
  • Bureau of Plant Industry (BPI)
  • National Meat Inspection Service (NMIS)
  • CPR and other regulatory agencies
  • Monitor document submissions, permit processing, and shipment status updates
  • Escalate issues and concerns to the Procurement Supervisor/Manager as needed

4.Supplier Sourcing

  • Assist in sourcing and identifying potential local and international suppliers.
  • Coordinate with overseas suppliers regarding quotations, product availability, shipment schedules, and documentation requirements.
  • Request and compare supplier quotations, pricing, and product specifications.
  • Maintain and update supplier database and accreditation documents.
