The Importation Documentation Officer is responsible for managing all import-related documentation and regulatory compliance for food products. The role ensures timely processing of shipments, proper coordination with customs brokers and suppliers, and strict compliance with government regulations such as FDA requirements.


Key Responsibilities

Import Documentation & Processing

  • Prepare and review complete import documents:
  • Bill of Lading
  • Commercial Invoice
  • Packing List
  • Certificate of Origin
  • Ensure accuracy and completeness of all shipment documents prior to arrival
  • Monitor shipment status from supplier to warehouse

Regulatory Compliance (Food Industry)

  • Process and monitor FDA requirements, including:
  • Product registration
  • License to Operate (LTO) coordination
  • Product labeling compliance
  • Ensure compliance with Philippine import regulations (BOC and other agencies)
  • Coordinate permits and clearances for food-related imports

Coordination & Liaison

  • Coordinate with:
  • Customs brokers
  • Freight forwarders
  • Shipping lines
  • International suppliers
  • Work closely with warehouse and operations teams for receiving and inventory planning
  • Address issues such as shipment delays, document discrepancies, and customs concerns

Monitoring & Reporting

  • Track shipment schedules, ETA, and delivery timelines
  • Maintain accurate records of all import transactions
  • Prepare reports on shipment status, delays, and compliance updates
  • Ensure proper filing and documentation for audit purposes

Cost & Efficiency Support

  • Assist in monitoring import-related costs (duties, taxes, freight)
  • Help identify opportunities to improve import processes and reduce delays


Qualifications

  • Bachelor’s degree in Customs Administration, Logistics, Supply Chain, or related field
  • At least 1–3 years experience in importation or logistics, preferably in the food industry
  • Knowledge of FDA regulations and food importation requirements
  • Familiar with BOC processes and customs documentation
  • Strong attention to detail and organizational skills
  • Good communication and coordination abilities
