The Human Resources and Administrative Officer is responsible for supporting the company’s human resources functions and ensuring the efficient day-to-day administration of office operations. The position provides support across the employee lifecycle, including recruitment, onboarding, employee records, attendance and leave administration, payroll inputs, employee relations, performance management, training, and HR compliance.

The role also oversees general administrative activities, including office supplies and facilities, records management, vendor coordination, scheduling, company events, and other administrative requirements. The position is expected to maintain confidentiality, accuracy, professionalism, and compliance with applicable company policies and labor regulations.

Duties & Responsibilities

A. Human Resources

  • Support the full recruitment and selection process, including preparation and posting of job advertisements, applicant sourcing, CV/resume screening, interview scheduling, and coordination of pre-employment requirements.
  • Assist in the onboarding and orientation of newly hired employees and ensure completion of required employment documents.
  • Maintain accurate, complete, and up-to-date employee personnel records and HR databases.
  • Monitor and maintain employee attendance, leave applications, and related records.
  • Prepare and submit accurate payroll inputs, including attendance, leave, deductions, and other employee-related information, for payroll processing.
  • Assist in the administration of employee benefits and coordinate with relevant service providers or government agencies when required.
  • Support the development, implementation, and continuous improvement of HR policies, procedures, forms, and internal guidelines.
  • Assist in employee performance management, including performance evaluations, documentation, and follow-up actions.
  • Handle employee concerns and grievances professionally and assist management in disciplinary actions and workplace investigations in accordance with company policies and applicable labor laws.
  • Maintain confidentiality of employee information and sensitive HR matters at all times.
  • Assist in ensuring compliance with applicable labor laws, regulations, statutory requirements, and recognized HR best practices.
  • Coordinate employee training, orientation, and professional development activities.
  • Prepare HR reports, employee statistics, and other management reports as required.
  • Maintain proper documentation of HR transactions and ensure that records are properly filed and readily accessible when needed.

B. Administrative

  • Oversee the day-to-day administrative operations of the office and ensure that necessary office resources are available.
  • Monitor office supplies, equipment, maintenance, utilities, and other general office requirements.
  • Maintain organized physical and digital filing systems and ensure the proper safekeeping and confidentiality of company documents.
  • Handle company correspondence, communications, and administrative documentation as assigned.
  • Provide administrative and scheduling support to senior management when required.
  • Coordinate company meetings, events, activities, and other internal programs.
  • Assist in arranging business travel, transportation, accommodation, and related requirements when necessary.
  • Liaise with vendors, suppliers, contractors, and service providers and coordinate the provision of required goods and services.
  • Monitor administrative service contracts, subscriptions, and office-related requirements as assigned.
  • Assist in maintaining workplace health, safety, cleanliness, and security standards.
  • Support government, regulatory, and other external administrative requirements when assigned by management.
  • Perform other HR and administrative duties that may reasonably be assigned by management in support of company operations.
