Job Summary

We are looking for an experienced and highly organized Immigration Case Manager to oversee the processing and monitoring of US immigration cases during the National Visa Center (NVC) stage.

The role is responsible for managing case workflows, supervising case coordinators, monitoring case progress, ensuring timely completion of requirements, handling escalations, and coordinating with applicants, internal departments, legal representatives, partners, and international teams.

Key Responsibilities

  • Oversee the end-to-end processing and monitoring of US immigration cases at the NVC stage.
  • Lead and supervise the Immigration Case Coordination team, including task delegation, coaching, and performance monitoring.
  • Monitor case progress, pending requirements, deadlines, and pipeline movement.
  • Ensure accurate and timely completion and submission of required immigration documents.
  • Oversee Fee Bill, DS-260, civil document, and other NVC-related requirements.
  • Identify processing delays, incomplete requirements, and potential case issues and ensure timely resolution.
  • Handle escalated applicant concerns and coordinate resolutions with relevant teams.
  • Coordinate with applicants, internal departments, legal representatives, partners, and US-based teams.
  • Ensure accurate and updated case records in trackers, pipeline systems, and Quickbase.
  • Prepare regular reports on case status, pending requirements, turnaround time, and team performance.
  • Develop and improve case management processes, workflows, checklists, and SOPs.
  • Ensure compliance with established company processes and immigration documentation requirements.
  • Endorse completed and qualified cases to the appropriate deployment or next-stage team.

Qualifications

  • Bachelor’s degree in Business Administration, Management, Human Resources, Legal Management, or a related field.
  • At least 5 years of experience in immigration processing, case management, visa processing, documentation, recruitment, deployment, or related fields.
  • At least 2–3 years of supervisory or managerial experience, preferably managing a case management or documentation team.
  • Experience with US immigration or NVC processing is highly preferred.
  • Strong understanding of immigration documentation, case tracking, and process coordination.
  • Excellent leadership, organizational, communication, and problem-solving skills.
  • Strong attention to detail and ability to manage multiple cases and deadlines simultaneously.
  • Experience handling escalations and coordinating with clients, applicants, legal representatives, or international teams.
  • Proficient in Microsoft Office, Google Workspace, Excel/Google Sheets, and case management or tracking systems such as Quickbase.
  • Ability to analyze case data, prepare reports, and monitor team performance.
  • Strong sense of confidentiality and professionalism when handling sensitive applicant information.
  • Willing to work onsite and on a night shift schedule to support US-based operations.
