1. Shipment Coordination & Booking

• Carrier Booking: Secure cargo space with shipping lines, airlines, and local trucking partners based on cost and timeline requirements.
• Tracking & Visibility: Monitor shipments from origin to destination, providing proactive milestone updates and solving transit delays.
• Client Management: Serve as the primary point of contact for clients, handling inquiries, providing rate quotes, and resolving delivery issues.

2. Documentation & Compliance

• Shipping Documents: Prepare, review, and process critical international shipping documents, including Bills of Lading (B/L), Air Waybills (AWB), Commercial Invoices, and Packing Lists.
• Customs Liaison: Coordinate closely with customs brokers and import/export teams to ensure cargo complies with local and international regulations (such as Bureau of Customs requirements).
• Data Integrity: Input accurate shipment data into Freight Management Systems (FMS) for financial and operational tracking.

3. Financial Reconciliation

• Billing & Invoicing: Verify freight charges, local port fees, and storage fees against carrier quotes.
• Vendor Payables: Approve and process invoices from shipping lines, truckers, and warehouse operators to ensure timely payment and release of cargo.

Key Skills & Qualifications

• Industry Knowledge: Solid understanding of international shipping terms (Incoterms), freight forwarding procedures, and port operations.
• Problem-Solving: Ability to handle high-pressure situations, such as container shortages, port congestion, or sudden customs holds.
• Communication: Exceptional written and verbal communication skills for coordinating with global agents, local authorities, and anxious clients.
• Tools: Proficiency with logistics software (CargoWise, SAP, or similar FMS) and standard office tools like Microsoft Excel.
