Job Summary

The Accounting and Finance Manager is responsible for overseeing the company’s accounting and finance operations, ensuring accurate financial reporting, effective financial controls, timely statutory compliance, and sound financial management. The position provides financial insights and recommendations to management to support operational efficiency, profitability, budgeting, and business growth.

The role works closely with Operations, Human Resources, Payroll, Procurement, Sales, and other departments to ensure that financial transactions are properly documented, recorded, monitored, and reported.

Key Responsibilities

1. Accounting Operations

  • Oversee the day-to-day accounting activities, including accounts payable, accounts receivable, general ledger, cash management, and financial reporting.
  • Review purchase requisitions, purchase orders, vouchers payable, invoices, receipts, and other accounting documents for accuracy, completeness, and proper authorization.
  • Ensure timely and accurate recording of financial transactions in accordance with company policies and accounting standards.
  • Review and monitor customer billings and service invoices, including timely submission to clients and follow-up of outstanding receivables.
  • Monitor cash advances, employee liquidations, reimbursements, and other company expenses.
  • Ensure proper maintenance and filing of accounting records and supporting documents.

2. Financial Reporting and Analysis

  • Prepare and review monthly, quarterly, and annual financial statements and management reports.
  • Supervise month-end and year-end closing procedures.
  • Prepare financial schedules, account reconciliations, and supporting documents for management and external audits.
  • Analyze revenues, expenses, profitability, cash flow, and financial performance.
  • Provide management with timely financial information, variance analysis, and recommendations for corrective action.
  • Prepare financial reports and presentations for senior management and the Board of Directors, as required.

3. Budgeting and Financial Planning

  • Lead the preparation of the company’s annual budget in coordination with department heads.
  • Monitor actual performance against approved budgets and investigate significant variances.
  • Develop financial forecasts and cash-flow projections.
  • Assist management in evaluating business plans, major expenditures, contracts, and other financial decisions.
  • Identify opportunities for cost control, process improvement, and increased profitability.

4. Tax and Regulatory Compliance

  • Ensure timely preparation and submission of BIR tax returns, remittances, and other statutory requirements.
  • Review BIR-related schedules and supporting documents for accuracy and completeness.
  • Ensure compliance with applicable Philippine accounting, tax, and corporate regulations.
  • Coordinate with external accountants, auditors, tax consultants, and government agencies when necessary.
  • Keep management informed of significant changes in accounting and tax requirements.

5. Payroll and Employee-Related Financial Transactions

  • Review payroll reports and related accounting entries before final approval and processing.
  • Ensure proper recording of salaries, benefits, deductions, and statutory contributions.
  • Coordinate with HR and Payroll regarding payroll discrepancies, employee advances, reimbursements, and other financial concerns.
  • Ensure appropriate accounting treatment of employee-related expenses.

6. Treasury and Cash Management

  • Monitor daily cash position, collections, disbursements, and bank transactions.
  • Prepare and review bank reconciliations.
  • Manage cash-flow requirements and ensure adequate funds for operating expenses and financial obligations.
  • Monitor collections and coordinate with relevant departments regarding overdue accounts.
  • Review payment schedules and ensure that disbursements comply with company approval policies.

7. Internal Controls and Audit

  • Establish, implement, and monitor effective accounting and financial controls.
  • Review financial processes to identify risks, errors, irregularities, and opportunities for improvement.
  • Ensure appropriate segregation of duties and compliance with approval authorities.
  • Coordinate internal and external audits and provide required schedules and supporting documents.
  • Implement agreed audit recommendations and corrective actions.

8. Team Leadership

  • Supervise, coach, and develop accounting and finance personnel.
  • Assign responsibilities and establish performance objectives for the accounting team.
  • Review the work of accounting staff to ensure accuracy and compliance with established procedures.
  • Promote accountability, professionalism, confidentiality, and continuous improvement within the department.

9. Business and Operations Support

  • Work closely with Operations and other departments to ensure accurate financial monitoring of ServiceMaster contracts and projects.
  • Assist in analyzing contract profitability, labor costs, materials, operating expenses, and other service-related costs.
  • Provide financial guidance to management in relation to pricing, cost management, resource allocation, and operational decisions.
  • Ensure that accounting and finance processes support the company's facilities-management and manpower-service operations.

10. Other Responsibilities

  • Perform other accounting, finance, and administrative functions that may be assigned by management.
  • Maintain confidentiality of financial, employee, customer, and company information.
  • Promote compliance with company policies, procedures, quality standards, and applicable laws and regulations.

Qualifications

  • Bachelor’s degree in Accountancy, Accounting, Finance, or a related field.
  • CPA license is strongly preferred and may be required depending on the level of the position.
  • At least 5 years of relevant accounting and finance experience, preferably with supervisory or managerial experience.
  • Experience in general accounting, financial reporting, budgeting, taxation, treasury, and audit.
  • Experience in a service-oriented, facilities-management, manpower, construction, or similar industry is an advantage.
  • Strong knowledge of Philippine accounting and taxation requirements.
  • Proficient in Microsoft Excel, accounting software, and financial reporting systems.
  • Strong analytical, organizational, and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Strong leadership, communication, and interpersonal skills.
  • Ability to manage confidential information and work under pressure.
  • High level of integrity, accountability, and professionalism.
