The Head Executive Assistant provides high-level administrative and executive support to the CEO, executives, and senior leadership. This role is responsible for managing executive schedules, coordinating meetings, preparing reports, handling confidential information, overseeing administrative processes, and ensuring the smooth day-to-day operations of the executive office. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Duties and Responsibilities:

  • Manage the CEO's calendar, appointments, meetings, travel arrangements, and daily schedule.
  • Screen, prioritize, and respond to emails, phone calls, correspondence, and other communications on behalf of the CEO.
  • Prepare reports, presentations, meeting agendas, minutes, and other documents required by the CEO.
  • Coordinate with department heads and monitor the timely completion of tasks, projects, and directives issued by the CEO.
  • Maintain the confidentiality of sensitive business information, executive records, and company documents.
  • Serve as the primary liaison between the CEO and internal departments, clients, business partners, government agencies, and other external stakeholders.
  • Plan, organize, and coordinate executive meetings, company events, business trips, and special projects.
  • Monitor project timelines, prepare status updates, and ensure follow-through on action items assigned by the CEO.
  • Organize and maintain accurate filing systems for contracts, reports, correspondence, and other executive documents.
  • Perform other administrative, operational, and executive support functions as assigned by the CEO to ensure the efficient operation of the executive office.

Qualifications:

  • Bachelor's degree in Business Administration, Office Administration, Management, Communications, or a related field.
  • At least three (3) to five (5) years of proven experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives or a CEO.
  • Excellent verbal and written communication skills in English and Filipino.
  • Strong organizational, time management, and multitasking skills with the ability to prioritize competing responsibilities.
  • High level of professionalism, integrity, and discretion in handling confidential and sensitive information.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Excellent interpersonal skills with the ability to build and maintain professional relationships with internal and external stakeholders.
  • Strong analytical, problem-solving, and decision-making abilities with keen attention to detail.
  • Ability to work independently, under pressure, and with minimal supervision in a fast-paced environment.
  • Willing to work extended hours, travel when necessary, and perform other duties as assigned by the CEO.
