Executive Assistant

Key Responsibilities

• Provide high-level administrative support to senior executives (e.g., CEO, COO, Directors)
• Manage complex calendars, including prioritizing meetings, resolving scheduling conflicts, and coordinating across time zones
• Act as the primary point of contact for executives, handling internal and external communications
• Draft, review, and manage emails, memos, and other correspondence on behalf of executives
• Prepare executive-level reports, presentations, briefing notes, and meeting packs
• Schedule and coordinate executive meetings, board meetings, and leadership sessions
• Take accurate meeting minutes and track action items, ensuring timely follow-up
• Arrange domestic and international travel, including itineraries, accommodations, and logistics
• Screen incoming requests, calls, and documents, prioritizing based on urgency and importance
• Support executives in managing priorities, deadlines, and key deliverables
• Liaise with senior stakeholders, department heads, clients, and external partners
• Assist in confidential matters, ensuring discretion and professionalism at all times
• Support event coordination, offsites, and leadership engagements as required

Requirements

• Minimum 2 years experience supporting senior executives or leadership teams
• Strong organizational, planning, and coordination skills
• Excellent written and verbal communication skills
• High level of professionalism, discretion, and confidentiality
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and calendar/email tools
• Ability to work in a fast-paced environment with shifting priorities
• Strong attention to detail and problem-solving ability
• Ability to work independently with minimal supervision
