Job Description

Responsible for managing, controlling, and maintaining all project documentation, including highly technical drawings and specifications. This role ensures accuracy, version control, and compliance with project, client, and regulatory standards. 

Key Responsibilities

The document controller's duties involve the entire lifecycle of project documentation: 

  • Document Management: Establish, manage, and maintain the document control system, handling both electronic and hard copies.
  • Version and Revision Control: Ensure proper document numbering, track all revisions, and guarantee that only the most current versions are in use.
  • Distribution and Archiving: Receive, register, distribute, and archive all project documents, including drawings, specifications, manuals, reports, and correspondence. This often involves preparing transmittals and maintaining detailed logs of incoming and outgoing documents.
  • Compliance and Audits: Perform quality checks on documents to verify accuracy and adherence to established quality standards and regulatory guidelines (e.g., ISO standards). They prepare documentation for both internal and external audits.
  • Coordination: Liaise with various teams, including design, QA/QC, engineering, site, and project management, as well as external clients and contractors, to manage document flow and resolve issues.
  • Technical Document Handling: Specific to solar and substation projects, they control documents such as single-line diagrams (SLDs), general arrangement (GA) drawings, protection schemes, bills of quantities (BOQs), test reports, and "as-built" records.
