Job Summary

We are looking for an experienced and highly organized Documentation / Deployment Manager to oversee the end-to-end documentation and deployment processes for healthcare professionals. This role is responsible for ensuring that all employee and candidate documents are complete, accurate, compliant, and submitted within required timelines.

The Documentation / Deployment Manager will coordinate closely with Recruitment, Operations, HR, Compliance, and clients to ensure the smooth and timely deployment of healthcare professionals. The role requires strong leadership, attention to detail, process management, and the ability to handle multiple deployments and documentation requirements simultaneously.

Key Responsibilities

  • Oversee the complete documentation and deployment process for healthcare professionals from pre-employment requirements through successful deployment.
  • Manage and monitor the submission, verification, completion, and maintenance of employee and candidate documentation.
  • Ensure all required documents, licenses, certifications, clearances, medical requirements, and other deployment-related records are complete and accurate.
  • Review documents for accuracy, completeness, validity, and compliance with company and client requirements.
  • Coordinate with Recruitment, HR, Operations, Compliance, and other internal departments to resolve documentation and deployment concerns.
  • Coordinate with clients regarding deployment requirements, document submissions, candidate status, and deployment schedules.
  • Establish and monitor documentation and deployment timelines to ensure candidates are deployed within agreed deadlines.
  • Maintain accurate and updated records, trackers, databases, and deployment reports.
  • Monitor the status of candidates and employees throughout the documentation and deployment pipeline and provide regular progress updates to management.
  • Identify delays, missing requirements, documentation issues, and potential deployment risks and implement appropriate corrective actions.
  • Develop and improve documentation and deployment processes, workflows, checklists, and standard operating procedures.
  • Ensure proper filing, organization, confidentiality, and accessibility of employee and deployment records.
  • Lead and supervise the Documentation / Deployment team, including task delegation, performance monitoring, coaching, and workload management.
  • Conduct regular team meetings and provide updates on deployment progress, pending requirements, bottlenecks, and critical cases.
  • Prepare and submit weekly and monthly reports related to documentation completion, deployment status, turnaround time, pending requirements, and other key performance indicators.
  • Ensure compliance with company policies, client requirements, and applicable employment and documentation standards.
  • Handle escalations involving incomplete documents, delayed submissions, deployment issues, and other operational concerns.
  • Perform other duties and responsibilities related to documentation, deployment, and operations as assigned by management.


Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, Healthcare Management, or a related field.
  • At least 5–7 years of experience in documentation, deployment, recruitment operations, healthcare staffing, or related fields.
  • At least 2–3 years of experience in a supervisory or managerial capacity.
  • Experience in healthcare staffing, healthcare BPO, manpower deployment, or recruitment operations is highly preferred.
  • Strong understanding of employee documentation, compliance requirements, and deployment processes.
  • Proven experience managing a team and coordinating with multiple departments and stakeholders.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to identify documentation discrepancies and compliance issues.
  • Excellent written and verbal communication skills.
  • Strong problem-solving, decision-making, and coordination skills.
  • Proficient in Microsoft Office and Google Workspace, particularly Excel/Google Sheets.
  • Ability to manage multiple priorities and work effectively under tight deadlines.
  • Willingness to work onsite and adjust to extended or shifting schedules when required.
