About the Role

We are looking for a Customs Operations Associate to support day-to-day customs documentation, order coordination, supplier follow-ups, and purchasing activities. You’ll help keep required documents, purchase orders, records, invoices, and order updates accurate and organised while coordinating with the Buying team, suppliers, and external service providers.

What you’ll be working on:

• Support documentation needed for customs and clearance activities.
• Coordinate with suppliers and external service providers on required documents and order updates.
• Follow up suppliers on purchase orders, requirements, and status updates.
• Assist the Buying team with order coordination and inspection/QC requirements.
• Update PO records, ETAs, receipts, costs, and other details in internal systems.
• Check supplier invoices and supporting documents before endorsement to Finance.
• Assist with order-related costs, bills, prepayments, and reconciliations.
• Check received orders against system records and raise discrepancies.
• Prepare basic purchasing, costing, and operational reports.
• Support opportunities to reduce costs and improve order planning.
• Coordinate with internal teams on order-related updates and inquiries.

What we’re looking for:

• Fresh graduates of Customs Administration or related courses, or candidates with up to 2 years of relevant experience.
• For candidates from other courses/backgrounds, exposure to customs documentation, clearance processes, or related operations is preferred.
• Familiar with purchase orders, invoices, and operational documentation.
• Working knowledge of Excel for tracking, reporting, and basic analysis.
• Accurate and organised when handling documents and data.
• Clear verbal and written communication skills.
• Willing to learn internal systems and processes.
• Able to manage assigned tasks and follow through on requirements.
