Internal Quality Audit & Compliance Officer

Scope: Organization-wide (Operations + Back Office)

Role Purpose

The Internal Quality Audit & Compliance Officer is the custodian of the company’s operating standards. Their mission is to ensure that every department—from the production floor to the administrative offices—operates in strict accordance with SOPs, ISO standards (e.g., ISO 9001, 22000), and corporate policies. They act as an independent evaluator to identify process gaps and drive continuous improvement across the entire value chain.

Key Responsibilities

1. Organization-Wide Process Auditing

  • Operations Audit: Conduct rigorous audits on the food production floor for HACCP/GMP compliance and recipe adherence.
  • Back Office Audit: Audit administrative departments (HR, Finance, Procurement) to ensure documentation, data privacy, and workflow SOPs are followed.
  • Supply Chain Audit: Verify that Procurement follows "Approved Supplier" protocols and Logistics maintains the "Cold Chain" during transport.

2. SOP Management & Development

  • Collaborate with Department Heads to draft, review, and update Standard Operating Procedures (SOPs).
  • Ensure that the "Master Copy" of all company policies is controlled, updated, and accessible to relevant staff.
  • Verify that new employees in all departments receive proper "Compliance Induction" training.

3. Compliance & Risk Management

  • Monitor adherence to statutory and regulatory requirements (Labor laws for HR, Tax compliance for Finance, Food Safety for Ops).
  • Conduct Root Cause Analysis (RCA) when a process failure occurs in any department and track the implementation of corrective actions.
  • Maintain the Risk Register, identifying areas where the organization is vulnerable to process lapses.

4. Documentation & Reporting

  • Prepare comprehensive monthly audit reports for Senior Management, highlighting "Departmental Compliance Scores."
  • Manage the Document Control System to ensure no obsolete forms or procedures are being used.

Expanded Qualifications & Skills

  • Education: Bachelor’s Degree in Business Administration, Industrial Engineering, Food Science, or a related field.
  • Audit Certification: Certified Internal Auditor (CIA) or ISO 9001/22000 Lead Auditor certification is highly preferred.
  • Experience: 1+ years in a Compliance or Quality Audit role with exposure to both manufacturing and corporate/admin environments.
  • Core Competencies:
  • Systems Thinking: Ability to see how a delay in Procurement (Back Office) affects Food Safety (Operations).
  • Data Integrity: A "detective’s mindset" to spot inconsistencies in paperwork or digital logs.
  • Objectivity: The ability to remain neutral and firm when auditing peer departments or senior leadership.
