Job Summary

We are seeking a detail-oriented and highly organized LOA (Leave of Absence) Administrator to join our HR team. The ideal candidate will have strong experience in leave administration, benefits operations, and compliance with federal and state leave regulations. This role will serve as the primary point of contact for employees, managers, and HR partners regarding leave-related inquiries, claim status updates, and return-to-work processes.

The LOA Administrator will ensure leave programs are administered accurately, professionally, and in compliance with company policies and applicable laws.

Key Responsibilities

  • Administer employee leave of absence programs in compliance with federal, state, and company policies.
  • Manage employee and manager relationships regarding leave requests, approvals, denials, and return-to-work processes.
  • Serve as the primary point of contact for leave-related inquiries and provide timely resolution to concerns.
  • Coordinate with Human Resources, Labor Relations, Payroll, and management regarding leave cases and return-to-work requirements.
  • Process and maintain leave documentation, claim records, and approvals accurately within established timelines.
  • Communicate claim status updates, leave approvals, and return-to-work expectations clearly and professionally.
  • Partner with third-party disability vendors for Short-Term Disability (STD), Long-Term Disability (LTD), and Workers’ Compensation cases.
  • Provide guidance and support to employees, managers, HR partners, and payroll teams regarding leave policies and procedures.
  • Conduct leave-related research, reporting, and data analysis as requested.
  • Maintain confidential employee Personal Health Information (PHI) and ensure strict HIPAA compliance.
  • Collaborate with the LOA Coordinator on escalations, complex leave cases, and process improvements.
  • Exercise sound judgment to ensure all leave administration activities are handled legally, ethically, and efficiently.

Qualifications

  • Minimum of 3 years of Leave of Absence (LOA) experience in a large organization.
  • At least 3 years of experience in Human Resources or Benefits Operations.
  • Strong working knowledge of PeopleSoft HRMS or similar HR systems.
  • Experience using leave management systems and benefits platforms.
  • In-depth understanding of:
  • FMLA
  • ADA
  • USERRA
  • HIPAA
  • Multi-state leave regulations
  • Strong knowledge of federal and state employment laws and benefits administration.
  • Proficient in Microsoft Office applications, including Word, Excel, Access, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation with the ability to work collaboratively in a team environment.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Strong analytical, organizational, problem-solving, and decision-making skills.

Preferred Skills

  • Ability to manage multiple cases and deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Experience working with cross-functional HR and payroll teams.
  • Ability to explain policies and procedures clearly and professionally.
