Job Summary

The Logistics Staff is responsible for coordinating the end-to-end export logistics process by managing carrier bookings, shipping documentation, vessel schedules, and shipment monitoring. The role ensures timely and accurate execution of export activities, maintains real-time logistics records, coordinates with shipping lines and freight forwarders, and supports efficient shipment planning while ensuring compliance with company procedures and international shipping requirements.Key Responsibilities

1. Carrier Booking & Container Release

• Process timely booking requests with shipping lines and carriers based on approved Job Orders.
• Secure and monitor the issuance of Authority to Withdraw (ATW) for empty container releases.
• Coordinate with shipping lines, carriers, and container depots to ensure container availability.
• Monitor booking confirmations and address booking-related concerns promptly.

2. Shipment Planning & Schedule Monitoring

• Monitor vessel schedules, sailing dates, and carrier advisories.
• Maintain and update a master tracker of critical shipping deadlines, including:
• Shipping Instruction (SI) Cut-off
• Documentation Cut-off
• Port/Vessel Cut-off
• Coordinate schedule adjustments due to vessel delays, roll-overs, or operational changes.
• Ensure all export shipments are planned and executed within the required timelines.

3. Shipping Documentation Management

• Prepare, review, and submit Shipping Instructions (SI) within carrier deadlines.
• Verify draft Bills of Lading (BL) against commercial invoices, packing lists, and Job Orders.
• Coordinate BL amendments with shipping lines and freight forwarders to ensure accurate Final Bills of Lading.
• Ensure export documentation is complete, accurate, and compliant with customer and carrier requirements.

4. Logistics System and Data Management

• Update ERP, Logistics Management System (LMS), Transportation Management System (TMS), or company monitoring files with:
• Booking Numbers
• Container Numbers
• ATW Status
• Vessel Details
• Bill of Lading Status
• Shipment Milestones
• Monitor open Job Orders and ensure sufficient carrier bookings are secured.
• Maintain accurate shipment records and logistics databases.

5. Reporting and Operational Coordination

• Prepare daily, weekly, and monthly logistics reports, including:
• Booking Status
• Shipment Monitoring
• Container Movement
• SI and BL Status
• Pending Operational Issues
• Escalate shipment delays, booking rejections, vessel roll-overs, and operational risks to the Logistics Manager.
• Ensure compliance with the company's reporting structure and communication protocols.

6. Stakeholder Communication

• Serve as the primary coordinator with shipping lines, freight forwarders, customs brokers, trucking providers, and internal departments.
• Respond promptly to logistics-related inquiries and maintain professional communication.
• Coordinate with Sales, Warehouse, Procurement, Export, and Operations teams to ensure smooth shipment execution.

7. General Responsibilities

• Ensure compliance with company policies, export regulations, and shipping procedures.
• Maintain confidentiality of shipment information and customer documentation.
• Support process improvement initiatives to enhance logistics efficiency.
• Perform other logistics and administrative duties assigned by the Logistics Manager.

Qualifications

• Bachelor's Degree in Logistics, Customs Administration, Business Administration, Supply Chain Management, or a related field.
• At least 1–3 years of experience in logistics, export documentation, freight forwarding, or shipping operations.
• Experience in scrap metal trading, manufacturing, commodity exports, or international logistics is an advantage.
• Knowledge of shipping documentation, Bills of Lading, Shipping Instructions, vessel schedules, and export procedures.
• Familiarity with ERP, Logistics Management Systems, Microsoft Excel, and Microsoft Office applications.
• Strong organizational, analytical, and problem-solving skills.
• Excellent communication and coordination abilities.
• Ability to work under pressure and meet strict shipping deadlines.
