Sagan represents a growing US-based business operating in the digital advertising and professional services space, with a finance team focused on building accurate, scalable, and well-controlled accounting processes across multiple entities.


Position Overview:


The Bookkeeper will support the finance team by maintaining accurate transactional records across general ledger, accounts payable, accounts receivable, reconciliations, and supporting schedules. This role is designed as a progressive growth opportunity.

The successful candidate will initially focus on core bookkeeping and reconciliation responsibilities before taking on broader AP/AR, payroll, month-end close, and financial control responsibilities. The ideal candidate is highly detail-oriented, comfortable working with structured processes, and willing to flag discrepancies rather than make assumptions. This is an excellent opportunity for a practical bookkeeper who wants to grow into a Senior Bookkeeper role within a sophisticated finance environment.


Key Responsibilities:


  • Post AP, AR, cash, payroll, and recurring accrual journal entries accurately and with appropriate supporting documentation.
  • Maintain vendor and customer records and flag duplicate or changed information for review.
  • Process vendor invoices and match them against supporting documentation and approvals.
  • Prepare payment runs for management approval.
  • Maintain AP aging and escalate overdue, disputed, and unmatched items.
  • Support client invoicing and track media reimbursements.
  • Apply customer receipts accurately and maintain AR aging.
  • Reconcile bank accounts, credit cards, and payment processors monthly.
  • Identify and explain reconciliation variances without forcing accounts to balance.
  • Reconcile intercompany balances and escalate discrepancies.
  • Maintain prepaid, fixed asset, accrued liability, and other supporting schedules.
  • Support month-end close activities according to the established close calendar.
  • Maintain organized, audit-ready documentation for transactions and reconciliations.
  • Follow documented accounting procedures and assigned financial controls.
  • Escalate transactions or situations that fall outside established procedures.
  • Progressively take on payroll reconciliation, close support, and additional control responsibilities as performance develops.


First Six Months


Months 1–2: General Ledger & Transaction Recording


  • Learn the chart of accounts and established accounting procedures.
  • Independently handle core AP, AR, cash, and recurring accrual entries with review.
  • Take ownership of vendor and customer master data.
  •  Build familiarity with revenue and capitalization procedures.


Months 3–4: Reconciliations & Supporting Schedules


  • Own bank, credit card, and payment processor reconciliations.
  • Reconcile intercompany balances and escalate discrepancies.
  • Maintain prepaid, fixed asset, accrued liability, and other supporting schedules.
  • Continue maintaining the ledger accurately and on schedule.


Months 5–6: AP & AR


  • Manage vendor invoices, matching, aging, and payment preparation.
  • Support client invoicing, cash application, and media reimbursement tracking.
  • Maintain W-9 collection and 1099 classification.
  • Sustain the accuracy and timeliness established during earlier phases.


Beyond Month 6: Senior Bookkeeper Progression


  • Take on payroll reconciliation and broader month-end close responsibilities.
  • Maintain audit-ready documentation and assigned controls.
  • Progression to Senior Bookkeeper is performance-based and accompanied by an adjustment in title and compensation.


Qualifications:


  • 2–4 years of hands-on bookkeeping, AP/AR, or staff accounting experience preferred.
  • Strong understanding of double-entry and accrual-basis accounting.
  • Experience with QuickBooks Online or a comparable accounting system.
  • Strong Excel skills, including lookups, pivot tables, and reconciliation tie-outs.
  • Demonstrated experience reconciling bank, credit card, or payment processor accounts.
  • Ability to manage high transaction volumes while maintaining accuracy.
  • Exceptional attention to detail and strong organizational skills.
  • Comfortable following documented processes and escalating exceptions appropriately.
  • Reliable, accountable, and able to work independently in a remote environment.
  • Willingness to learn US accounting practices and progressively take on more complex responsibilities.


Nice-to-Haves:


  • Experience with US-based accounting or bookkeeping.
  • Familiarity with digital advertising, media billing, or agency accounting.
  • Experience with intercompany reconciliations.
  • Exposure to month-end close or payroll reconciliation.
  •  Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.
