Description

The Administrative Supervisor is responsible for the daily operations of the administrative, ensuring efficient workflow, and maintaining high standards of service. This role involves coordinating administrative processes, managing staff performance, and supporting various departments to achieve organizational goals.



  1. Responsible for formulating and improving the administrative management system of the company, such as office order, document management, conference system, etc., to ensure that the company's operations are according to rules.
  2. Oversees the implementation of administrative systems and corrects and handles violations of the systems.
  3. Plan and manage the office space of the company, including the layout, decoration and amenities of office areas to provide a comfortable and efficient working environment.
  4. Responsible for the daily maintenance of office areas, such as cleaning, greening, equipment repair, etc., and promptly solve problems arising in the office environment.
  5. Responsible for the procurement, distribution, maintenance and inventory of office supplies and equipment. Develop a reasonable procurement plan to control costs and ensure an adequate supply of office supplies and equipment.
  6. Conduct regular inspection and maintenance of office equipment (such as computers, printers, photocopiers, etc.), promptly handle equipment failures, and improve the service life and efficiency of equipment.
  7. Ensure the safe operation of the vehicle, rationally arrange the use of the vehicle and improve the utilization rate of the vehicle.
  8. Schedule various meetings of the company, including determining the meeting time, venue, attendees, preparing meeting materials (e.g. agenda, report, etc.), keeping minutes of meetings, and following up on the implementation of meeting resolutions.
  9. Be responsible for the booking and management of meeting rooms, ensuring that the rooms are fully equipped and in a clean environment to meet meeting needs.
  10. Assist in organizing both internal activities of the company (e.g. employee birthday parties, group activities, etc.) and external activities (e. g. business receptions, exhibitions, etc.).
  11. Communicate and coordinate on behalf of the company with external agencies (e.g. government departments, partners, communities, etc.) to maintain the company's good image and public relations.
  12. Be responsible for the processing, changes and annual inspection of various types of company licenses (such as business licenses, business permits, etc.) to ensure the legal operation of the company.
  13. Performs other tasks that maybe assigned from time to time.

Requirements

·        Minimum of 1-3 years of experience in an administrative role in automotive industry.

·        Proven experience in office management and administrative processes.

·        Excellent organizational and time-management skills.

·        Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.

·        Strong verbal and written communication skills.

·        Problem-solving skills and the ability to make sound decisions under pressure.

·        Ability to handle confidential information with discretion.

·        Proactive and adaptable to changing environments and priorities.

·        Strong interpersonal skills and the ability to work collaboratively across departments.

·        Can start immediately.
