Operations Support Coordinator - (HR72240)


Location: Remote (Philippines)

Salary Range: 1000 - 1500 USD/month 


Work Schedule: Monday to Friday; 9:00 AM - 5:00 PM (EST)

Sagan represents a fast-growing U.S.-based company seeking a highly organized and proactive operations professional to strengthen cross-functional execution, improve visibility across teams, and support operational excellence in a collaborative remote environment.


Position Overview:


The Operations Support Coordinator will report directly to the Operations Lead and serve as their primary support across the Global Team’s daily execution. This person will review daily reports, maintain project dashboards, track projects and next actions, follow up on outstanding tasks, and ensure priorities continue moving forward.


Over time, the coordinator will become the team’s first point of contact for routine updates, blockers, follow-ups, and operational questions. By maintaining visibility and accountability across the team, they will allow the Operations Lead to focus on higher-level direction, coaching, process improvement, and decision-making.


The ideal candidate is proactive, highly organized, and comfortable managing up. They should be confident providing feedback, respectfully pushing back when necessary, escalating blockers early, and suggesting practical solutions.


Key Responsibilities:


  • Review daily end-of-day reports for completeness and accuracy.
  • Maintain project dashboards and monitor progress across logistics, sales, and other departments.
  • Support the adoption of Getting Things Done (GTD) principles by ensuring projects, next actions, and follow-ups are properly captured and completed.
  • Proactively follow up on delayed, unclear, incomplete, or stuck tasks without requiring repeated reminders.
  • Track commitments, deadlines, action items, and ownership across the Global Team.
  • Identify and escalate blockers early, providing suggested solutions whenever possible.
  • Prepare daily, weekly, and monthly operational updates and KPI reports.
  • Coordinate meeting agendas, preparation materials, action items, and follow-ups.
  • Monitor system usage and team adoption, including CRM activity, Dialpad usage, missed calls, offer activity, stale leads, and missing account information.
  • Identify gaps in system usage, documentation, or accountability and follow up with the appropriate team members.
  • Create and maintain written SOPs, process documentation, onboarding materials, and training resources.
  • Record clear SOP and training videos to support consistent team execution.
  • Support onboarding by introducing new hires to internal systems, workflows, and documentation.
  • Learn the company’s logistics workflow during onboarding and eventually provide basic backup support or route logistics and system-related concerns appropriately.
  • Provide constructive feedback and respectfully push back when clarification, accountability, or a different approach is needed.
  • Assist with process improvements and the implementation of new tools, including AI solutions.
  • Serve as the first point of contact for routine operational questions, updates, blockers, and team coordination.
  • Keep the Operations Lead informed through clear, timely, and actionable status updates.


Qualifications:


  • 2–4 years of experience in operations, project coordination, logistics support, administrative support, or a related role.
  • Strong organizational, time-management, and task-tracking skills.
  • Excellent written and verbal English communication.
  • Proven ability to manage multiple priorities in a fast-paced remote environment.
  • Confidence following up with cross-functional teams and promoting accountability.
  • Ability to work proactively without requiring constant reminders or supervision.
  • Strong attention to detail, judgment, and problem-solving abilities.
  • Confidence providing feedback and respectfully pushing back when appropriate.
  • Ability to identify blockers, escalate concerns early, and recommend practical solutions.
  • Proficiency with Microsoft Office or Google Workspace.
  • Ability to quickly learn new software, systems, and operational workflows.
  • Full-time availability during 9:00 AM–5:00 PM EST.


Nice-to-Haves:


  • Experience with Notion, Zoho CRM, Microsoft Teams, Dialpad, or similar tools.
  • Familiarity with GTD or other task and project-management methodologies.
  • Experience monitoring CRM activity, sales activity, or team system adoption.
  • Experience creating written SOPs, training videos, onboarding documentation, or process guides.
  • Background supporting logistics, sales operations, or project management teams.
  • Familiarity with AI tools for reporting, documentation, or workflow improvement.


Success in This Role:


  • Success will be measured by the coordinator’s ability to maintain visibility across the Global Team, improve follow-through and system adoption, identify blockers before they become larger problems, and provide dependable operational support without requiring constant direction. Over time, this person should become a trusted first point of contact who helps the team remain organized, accountable, and focused.
